STUDENT ORGANIZATION POLICIES<br />

Students have the freedom to organize and join associations to promote their common<br />

interests. The <strong>University</strong> provides resources and pr<strong>of</strong>essional advice to student organizations<br />

regarding programs, activities, policies, and procedures. UMES assists in the development <strong>of</strong><br />

new organizations and the re-registration <strong>of</strong> existing ones to meet the co-curricular needs <strong>of</strong><br />

UMES students. The Office <strong>of</strong> Student Affairs in the School <strong>of</strong> Pharmacy has been assigned to<br />

the responsibility <strong>of</strong> advising and assisting student organizations. The Assistant Dean for<br />

Student Affairs acts in all matters <strong>of</strong> student organization registration or the withdrawal <strong>of</strong><br />

registered student organization status in accordance with <strong>University</strong> policy. Should a dispute<br />

arise concerning policy or withdrawal <strong>of</strong> registered status, the Assistant Dean will be consulted<br />

in reviewing and resolving the case and providing the appropriate paperwork to the Office <strong>of</strong><br />

Student Activities.<br />

ESTABLISHING A CHAPTER OR NEW STUDENT ORGANIZATION<br />

Procedures for Registration<br />

Application for a Registration Student Organization (RSO) is restricted to the Office <strong>of</strong> Campus<br />

Life (OCL). The Office <strong>of</strong> Student Affairs in the School <strong>of</strong> Pharmacy will serve as the liaison<br />

between the Student Pharmacists/organizations and the Office <strong>of</strong> Campus Life. The<br />

organization seeking registration will abide by the decision <strong>of</strong> the Office <strong>of</strong> Campus Life.<br />

An organization must submit copies <strong>of</strong> its proposed constitution, a list <strong>of</strong> <strong>of</strong>ficers and<br />

members (student organization roster), mission statement, and yearly objectives to the<br />

Office <strong>of</strong> Student Affairs in the School <strong>of</strong> Pharmacy for review by the OSA. Additionally, the<br />

organization must have a minimum <strong>of</strong> 5 currently enrolled full-time students as active<br />

members and two faculty and/or staff advisors (both advisors must be a full-time faculty or<br />

staff member) at the time registration is sought. RSO’s must maintain a minimum <strong>of</strong> 5<br />

active student members.<br />

Organizations seeking registration shall be notified within thirty (30) workings days <strong>of</strong><br />

application <strong>of</strong> the results <strong>of</strong> their request.<br />

Until an organization has been <strong>of</strong>ficially registered, it can hold no meetings on <strong>University</strong><br />

property except for organizational purposes. Participation at such meetings is to be limited<br />

to interested enrolled students and members <strong>of</strong> university faculty and staff.<br />

When a RSO changes its constitution and/or by laws, those changes are to be submitted to<br />

the Office <strong>of</strong> Student Affairs for its review, information and approval.<br />

Annually, at the time organization elections, every RSO must submit a listing <strong>of</strong> its current<br />

<strong>of</strong>ficers’ names, addresses (including e-mail), and telephone numbers. The appropriate<br />

form is available in the Office <strong>of</strong> Student Affairs in Somerset Hall and the Office <strong>of</strong> Campus<br />

Life in the Student Services Center—Suite 2104. At other times when there is an <strong>of</strong>ficer<br />

change, it must be reported to the Office <strong>of</strong> Student Affairs. Failure to do so may result in<br />

the loss <strong>of</strong> registered status.<br />

Upon registration, RSO’s will be allocated a mailbox in the Office <strong>of</strong> Campus Life. It is the<br />

responsibility <strong>of</strong> the RSO to check their mailboxes on a consistent basis.<br />

All RSO’s must abide by the most current Office <strong>of</strong> Campus Life Policies and Procedures Manual<br />

provided upon approval <strong>of</strong> their organization. Failure to meet these aforementioned guidelines<br />

can result in the loss <strong>of</strong> registered status.<br />
