Information Maintenance <strong>Plan</strong> RecommendationsEach database <strong>of</strong> information that has been acquired or developed under this task has value to the<strong>City</strong> in managing their stormwater system. It is therefore recommended that the <strong>City</strong> budget forannual upkeep <strong>of</strong> this information. It will be necessary to assign responsibility for the updates tospecific staff positions. The <strong>City</strong> should document the responsibilities in the job descriptions forthose positions, so that the updates continue, regardless <strong>of</strong> the individual filling the position.SFWMD Permit InformationThe updating <strong>of</strong> the SFWMD permit information may be carried out in several ways. A periodicsearch <strong>of</strong> the SFWMD on-line permit information could generate a list <strong>of</strong> permits issued for theTownships and Ranges within <strong>Boca</strong>, for a specified range <strong>of</strong> dates. This permit informationcould then be researched to extract the database information desired. Alternatively, the <strong>City</strong>could require the submittal <strong>of</strong> a copy <strong>of</strong> the SFWMD permit and Staff Report for any projectrequired to obtain one.Stormwater System GISAs construction projects within the <strong>City</strong> are completed (by the <strong>City</strong>, State, County, or privateentities), the <strong>City</strong> should establish the requirement that a copy <strong>of</strong> the record information besubmitted to the <strong>City</strong>. The record information can be used to supplement and/or update theinformation that exists in the current stormwater GIS. Furthermore, the <strong>City</strong> could undertake aproject to review archived record drawing information to supplement the database information inthe existing stormwater GIS.Fields could be added to the database for scheduled and completed maintenance activities. A userinterface could be developed so that work orders could be generated from the database. Thissystem could also be used to generate a summary <strong>of</strong> the activities that have been conductedduring a specified period <strong>of</strong> time, and could be used for annual NPDES reporting.Citizen ComplaintsA user interface could be developed so that the staff position responsible for receiving the citizencomplaints could enter the information into the database associated with a shapefile representingthe area <strong>of</strong> the complaint. The fields <strong>of</strong> information could be configured so that a work orderreport could be generated for use by staff conducting the initial investigation. After the initialinvestigation, the work order could be returned and the results entered into the database. Again, areport could be generated if a subsequent work order were required to address a specificmaintenance or repair issue. With appropriate planning <strong>of</strong> the database fields, this GIS could beused to generate the citizen complaint information required by the <strong>City</strong>’s NPDES annual report.Drainage BasinsIn conjunction with the 1 st year reporting for each 5-year MS4 NPDES permit term, an update <strong>of</strong>the <strong>City</strong>’s major outfalls is required.
