Community Economic Assistance Center Database<br />

The Community Economic Assistance Center (CEAC) manages multiple funding<br />

sources <strong>for</strong> federal and state grants and loans. Staff wanted to provide seamless<br />

services <strong>for</strong> contractors with single contracts <strong>for</strong> multiple projects with multiple<br />

state and federal funding sources. For reimbursement and reporting purposes,<br />

federal grants needed to be tracked separately and accurately by grant years<br />

and category of expenditures.<br />

<strong>Results</strong><br />

★ The CEAC database tracks contracts by contract number, amendment,<br />

county benefit, funding source, and other detailed in<strong>for</strong>mation. It has<br />

streamlined the unit’s contract process and saved staff time. It has evolved to<br />

also track contractors' outcomes and deliverables, to produce boilerplate<br />

speaker agreement, contracts, and <strong>for</strong>m letters. It allows staff to access upto-date<br />

contract in<strong>for</strong>mation; i.e., payments, progress reports, local contacts.<br />

★ Staff can produce streamlined, seamless services <strong>for</strong> contractors by giving<br />

them one contract <strong>for</strong> multiple projects involving multiple state and federal<br />

funding sources. This reduces the number of contracts that are processed by<br />

the unit and by the agency's fiscal and contracting offices.<br />

★ Reconciliation of multiple fund sources and contract payments requires less<br />

time and is more accurate than be<strong>for</strong>e.<br />

★ The database can be used <strong>for</strong> <strong>for</strong>m letters, contract boilerplates, mailing<br />

labels and other combinations of in<strong>for</strong>mation. User-friendly <strong>for</strong>ms make all<br />

in<strong>for</strong>mation, <strong>for</strong>m letters, and reports available to all staff at the click of the<br />

mouse. This in<strong>for</strong>mation is always current and accurate.<br />

★ Contractor customized Contract In<strong>for</strong>mation Sheet, A19, and quarterly report<br />

<strong>for</strong>ms are available at the touch of a button with accurate up-to-date<br />

in<strong>for</strong>mation.<br />
