E&T Division Annual Policy and Procedures Review<br />
Agency employees are required to review certain policies and procedures on a<br />
yearly basis. The Employment and Training (E&T) Division did not have a<br />
consistent process in place to ensure that a yearly review was conducted. In<br />
addition, the process was time intensive and burdensome <strong>for</strong> the administrative<br />
support staff. The team designed and implemented procedures that include<br />
providing each employee a memo and spiral bound booklet with in<strong>for</strong>mation on<br />
all the required policies. Several other non-required policies, that employees<br />
should be aware of, are also included in the booklet. Now each employee<br />
reviews, signs the cover memo, and returns it to the Assistant Commissioner’s<br />
office attesting that they have read, understand, and agree to adhere to the<br />
policies.<br />
<strong>Results</strong><br />
★ Increased the number of employees completing annual review of policies<br />
from 20% to 92% (November 1999 - 27 of <strong>13</strong>5 employees completed the<br />
review; November 2000 - 123 of <strong>13</strong>5 employees completed the review).<br />
★ Reduced risk to the agency and employee by having employee review<br />
policies and sign a compliance statement.<br />
★ Other pertinent policies are reviewed by all division employees on a yearly<br />
basis.<br />
★ The process is easily managed, saving 48 FTE hours.<br />
★ Improves employee morale by eliminating unnecessary work.<br />
