Automated Batch Track System<br />

Batch Track is an automated system designed to replace the manual process <strong>for</strong><br />

batching Agency Financial Reporting System (AFRS) transactions. At the heart<br />

of the project is a simple replacement <strong>for</strong> the handwritten log used <strong>for</strong> recording<br />

AFRS batch numbers and document numbers. The automated system adds<br />

additional efficiency components including: automatic assignment of batch and<br />

document numbers in strict con<strong>for</strong>mance to AFRS business rules, automatic<br />

calculation of batch totals, hash totals, and transaction counts, automatic<br />

generation of required <strong>for</strong>ms, creation of searchable records of every transaction<br />

in every document, and support <strong>for</strong> multiple simultaneous users.<br />

<strong>Results</strong><br />

★ Improves internal controls <strong>for</strong> batches and documents.<br />

★ Saves times when researching accounting problems, through the creation of<br />

searchable records. Users can quickly locate original source documents<br />

without searching through file cabinets.<br />

★ Eliminates duplication of data entry and adding machine tape verifications.<br />

★ Reduces workload by automating labor-intensive steps of the batching<br />

process.<br />

★ Saves time by allowing multiple users to batch AFRS transactions<br />

simultaneously.<br />
