Database and Inventory Tracking Project<br />

Accurate assistive telecommunications equipment inventory in<strong>for</strong>mation <strong>for</strong> the<br />

Office of the Deaf and Hard of Hearing (ODHH) was often unavailable. The<br />

customer database was duplicated by ODHH staff, each with different<br />

in<strong>for</strong>mation about equipment in the possession of vendors and clients. This<br />

resulted in tracking system errors and inventory management inefficiencies. In<br />

addition, it caused delays in delivery of equipment statewide to deaf and hard of<br />

hearing clients when demand <strong>for</strong> assistive telecommunications devices exceeded<br />

inventory stores or vendors failed to receive needed inventory. Asset<br />

management was compromised when vendors' inventory counts did not reconcile<br />

with the master database, which also created opportunities <strong>for</strong> loss of state<br />

property.<br />

This improvement consolidated databases, enabling staff to identify inventory<br />

levels, know which vendors possessed specific items <strong>for</strong> clients, and which<br />

clients owned specific items. This also allowed <strong>for</strong> timely reorder of needed<br />

inventory and timely delivery to vendors.<br />

<strong>Results</strong><br />

★ Eliminated duplicated data entry by staff.<br />

★ Provided more reliable reports with less human error through reduced data<br />

handling.<br />

★ Ensured timely access to statistical in<strong>for</strong>mation by use of electronic tracking<br />

options.<br />

★ Provided better identification and preservation of state assets.<br />

★ Provided more accurate inventory levels and timely procurement.<br />
