<strong>Washington</strong> <strong>State</strong> Gambling Commission<br />

Automated Scheduling Saves Steps<br />

Previously, the Commission’s three conference room schedules were kept in the<br />

Administration Office area in a hard copy, monthly calendar <strong>for</strong>mat. To schedule<br />

meetings in any of the three conference rooms, staff needed to either make a<br />

physical trip to the calendar location or several phone calls to check or confirm<br />

dates. Although this process worked, it was time consuming and inconvenient<br />

<strong>for</strong> both scheduler and user, particularly to staff whose worksite was other than<br />

the Lacey office. This team proposed that by using our existing calendar system<br />

in our Outlook Program, the conference room schedules could be readily<br />

available to all agency users, in every office statewide. Now this in<strong>for</strong>mation is<br />

on line and the conference room schedules are within a few keystrokes <strong>for</strong><br />

everyone.<br />

<strong>Results</strong><br />

★ Improved efficiency by providing agency-wide computer access to each of the<br />

three conference room schedules.<br />

★ Improved accuracy in scheduling meeting arrangements, avoiding duplicate<br />

scheduling.<br />

★ Increased worker satisfaction due to convenience of computer use rather than<br />

having to make the physical trip(s) to the Administration office.<br />

★ Improved customer service to external users.<br />
