CHAPTER 5<br />
RECEIPTS, ISSUES AND STOCKS CONTROL<br />
General<br />
1. The objective <strong>of</strong> Stock C<strong>on</strong>trol is to ensure that appropriate quantities<br />
<strong>of</strong> <strong>drugs</strong> <strong>of</strong> specified quality are available in stock to meet the estimated<br />
demand.<br />
The quantity in stock <strong>of</strong> any item depends up<strong>on</strong> receipts and issues. The areas<br />
<strong>of</strong><br />
(a) Indenting (receipts)<br />
(b) Issues<br />
(c) Maintaining a specified buffer stock<br />
at drug stores at the central , regi<strong>on</strong>al and instituti<strong>on</strong>al levels are dealt with in<br />
this Chapter.<br />
2. To have an effective c<strong>on</strong>trol <strong>on</strong> stocks, it is essential to maintain a<br />
specified buffer stock depending <strong>on</strong> the level <strong>of</strong> the instituti<strong>on</strong> (e.g. at<br />
MSD stock <strong>of</strong> 3 m<strong>on</strong>ths).<br />
The durati<strong>on</strong> recommended for other instituti<strong>on</strong>s is 1 to 2 m<strong>on</strong>ths.<br />
In additi<strong>on</strong>, the following informati<strong>on</strong> should be available.<br />
(i) Quantity in stock, its shelf life and batch numbers ;<br />
(ii) Estimated quantity for a specified period ;<br />
(iii)Quantity <strong>on</strong> order and its expected time <strong>of</strong> delivery (e.g Limited<br />
applicati<strong>on</strong> <strong>of</strong> EOQ principles under periodic order review (midyear) ;<br />
(iv) Actual c<strong>on</strong>sumpti<strong>on</strong> and its trends ;<br />
(v) Lead time and stock levels - Re-order Level (ROL), Safety Stock<br />
Level(SSL),Maximum Stock Level (MSL), Minimum Stock Level<br />
(MSL), Ec<strong>on</strong>omic Order Quantity (EOQ)(Annexure III) .<br />
(vi)Unusable quantities in stock (obsolete, expired, spoilt, quality<br />
failed etc.<br />
3. All medical instituti<strong>on</strong>s under the provincial administrati<strong>on</strong> should<br />
forward a quarterly return <strong>of</strong> the stocks available to Officer in-charge (O<br />
i/c) <strong>of</strong> the Regi<strong>on</strong>al Medical Supplies Divisi<strong>on</strong> RMSD.The O i/c RMSD<br />
in turn should forward the quarterly return to the MSD.<br />
