Background: In the internal meeting of HODs and departmental coordinators, held on the<br />
14th of November, 2003, a view was expressed that acquisition of vital equipment like<br />
computers, and audio-visual aids etc; as well as routine purchases like stationery and<br />
consumables, was often delayed because of the lack of an effective purchase system and<br />
mechanism. Therefore a joint decision was taken, to set up an internal YASHADA<br />
Purchase Committee, with representatives from all sections of YASHADA faculty and<br />
administration.<br />
Objective: The objectives behind setting up a YASHADA Purchase Committee are:<br />
• To standardize practices and procedures such as processing indents received.<br />
finalising contracts with suppliers, calling for quotations and issuing tenders;<br />
• To encourage a consensual approach, so that purchases (especially of<br />
infrastructure facilities like furniture etc) are in consonance with YASHADA's<br />
ambience and Master Plan.<br />
• To streamline the process of administrative and financial sanctions, so that a 'zero<br />
audit objection' state is achieved in YASHADA, and the suppliers too are paid<br />
promptly for goods and services provided.<br />
Constitution of the Purchase Committee: The internal YASHADA Purchase Committee<br />
(YPC) will, consist of the following:<br />
1. Registrar<br />
2. Accounts Officer<br />
3. Representative of Faculty<br />
4. Representative of Campus Committee<br />
5. Representative of Staff (Purchase desk)<br />
