SECTION 3.17 Use of vehicles continued... POLICIES & PROCEDURES Use of vehicles v. vi. vii. In the event of an accident while driving one of our vehicles for which you are held to be at fault, you may be required to pay the cost of the insurance excess, up to a maximum of £250. You must provide us in writing with details of the business mileage you have undertaken on our behalf, together with copy receipts for any petrol or diesel purchased. Provided we have authorised your use of our vehicle for the purpose in question, we will reimburse any expenses that you have reasonably incurred as a result. When you have been authorised to use your own vehicle, your mileage for the journey in question will be reimbursed at the current mileage rate in force. You must indemnify us against any liability we incur as a result of: • your driving a vehicle on our business unlawfully or without a driving licence, or (if you are driving our vehicle) breaching the terms of our insurance; • your driving a vehicle (which is not our vehicle) on our business and not being insured, or not having an MOT certificate, or not having a road fund licence; and this indemnity shall continue even after such time as your employment with us ends. 110 S TAFF HANDBOOK
Security SECTION 3.18 i. ii. iii. iv. v. You must co-operate with us and other staff to maintain the security of College buildings and their contents and to ensure the safety of others visiting or working or living at the College. CCTV cameras are used on the Domus to help to safeguard the security of people and property. Cameras, which are capable of being directed and zoomed remotely, are positioned to capture views of the car parking areas, the main entrance and strategic areas, as well as general views across the Domus. The live pictures are viewed, from time to time, by the College’s Porters, in order to detect any suspicious activity. Warning signs are in place at strategic points to inform staff, students, Fellows and members of the public that surveillance cameras are in operation. CCTV footage is retained for 30 days, stored in a secure location. It is then over-written if not required as evidence. Information derived from CCTV surveillance will only be used for security purposes unless it leads to the discovery of an activity that no employer could reasonably be expected to ignore, for example, breaches of Health and Safety rules that put others at risk. You have the right of access to information about you held on CCTV footage. If you request access, you will be asked to: complete a Data Access Request Form (available from the Data Protection Officer, Mr Richard Stibbs); provide details of the date, time, and location of the CCTV recording; pay the current fee; and provide evidence of your identity.
