Furthermore, anyone who makes representations on an Issues Paper or any subsequent LDF consultation is automatically kept informed of progress. 5.7.5 Appendix 3b categorises the general consultation bodies and organisations that the Council has consulted with in the past and will continue to do so on future planning documents. 5.8 How Will I Be Able to Comment? 5.8.1 The Borough Council will make it as easy as possible for you to make your comments on published documents. You can respond in the following ways: • Returning Paper Forms attached to published documents by post or at designated collection points; e.g. Scarborough Town Hall, Filey Evron Centre, Whitby Council Offices. • Completing online forms electronically (you will be able to print out your comments for your own records). • By E-Mail direct to Forward Planning. • Returning Forms or Letters by Fax. • By bespoke letter. • By telephoning your comments. 5.9 What Will Happen to my Comments? 5.9.1 If you make representations, your details will be kept on our database and you will be kept informed of progress as follows: • All respondents will receive a letter of acknowledgement within 5 working days. • All relevant comments submitted will be recorded, considered and along with the Officers’ response taken before the relevant Committee. • Feedback will be available for inspection as soon as possible following completion of consultation periods and consideration of the issues raised. • The reports prepared for the appropriate Committee Meeting will be available on the Council’s Website or to view at Council Offices prior to the meeting. • Where there are objections that are capable of resolution the Council will negotiate with objectors. 5.10 Other Methods of Community Engagement (Community Strategy and Other Plans) 5.10.1 Outside of the normal consultation procedures and community engagement encouraged by the Local Planning Authority, members of the public and interested groups can become involved in consultation exercises on related strategies and plans which will have a direct impact on the content of the LDF. 108
Scarborough Borough Council: Draft Statement of Community Involvement Page 20 5.10.2 The Community Strategy in particular is important in setting the future direction of the Borough. When the Community Strategy is reviewed it is subject to considerable consultation and public involvement through various exhibitions and workshops. Information collected at such events directly influences the Community Strategy and, as the Community Strategy is a major influence on the LDF, will have a bearing on the future development of the Borough. If you require further information on the Community Strategy please contact the Community Partnership Co-ordinator on (01723) 232336. 5.10.3 The Council also facilitates the process by which communities engage in strategic planning. This enables communities to articulate needs and concerns, identify local priorities and participate in the development and delivery of local actions. Outcomes can include parish, community or village plans which embody the local communities’ aspirations for the future of their village or parish and can set out what the community believes are the relevant planning issues. 5.10.4 The Council promotes and supports involvement of the voluntary sector, community groups, Town & Parish Councils, the private and public sectors and members of the general public, where appropriate, in community planning. 109
