Ten out <strong>of</strong> <strong>the</strong> eleven data bases (90, 9%) that were<br />

identified are operational and being maintained on <strong>the</strong><br />

DCS portal.<br />

The Information Management Plan is continuously<br />

updated through user requirement specification and<br />

operational user forum sessions.<br />

28 User requirement specification sessions were<br />

conducted. The following user needs were identified<br />

per direc<strong>to</strong>rate: parole releases, Lesedi III, Head <strong>of</strong><br />

Correctional Centres, and skills development.<br />

Deputy information <strong>of</strong>ficers have been trained by <strong>the</strong><br />

South African Human Rights Commission.<br />

The annual PAIA section 32 report has been submitted<br />

<strong>to</strong> <strong>the</strong> Commission as required.<br />

The electronic document management system phase<br />

1(<strong>the</strong> analysis phase) has been completed.<br />

The records management audit has been completed.<br />

In addressing service delivery information needs<br />

65 cus<strong>to</strong>mised management reports were made<br />

accessible on <strong>the</strong> MIS.<br />

In addition 11 cus<strong>to</strong>mised PERSAL reports were also<br />

created.<br />

Code Enforcement system (Lesedi II) and Skills Development<br />

operational system were implemented.<br />

According <strong>to</strong> utilisation report <strong>of</strong> <strong>the</strong> MIS a <strong>to</strong>tal <strong>of</strong><br />

12156 enquiries for reports were made.<br />

Of this 34% enquiries were for management and cus<strong>to</strong>mized<br />

management reports. 29% focused on o<strong>the</strong>r<br />

service delivery information reports. The remaining<br />

37% utilisation was for entry level enquiries.<br />

The development <strong>of</strong> an Integrated Multi-Year-Plan that<br />

will inform both <strong>of</strong>fenders and personnel operations is<br />

in process.<br />

The National Steering Committee for <strong>the</strong> development<br />

<strong>of</strong> information res<strong>our</strong>ce centres and libraries has been<br />

established.<br />

The establishment <strong>of</strong> res<strong>our</strong>ce centres in <strong>the</strong> regions<br />

has started with Information Communication Technologies<br />

(ICT) distributed <strong>to</strong> pilot sites.<br />
