742 Appendix B/Family Educational Rights and Privacy ActFor the purposes of this Policy, Texas A&M University has used the following definitionsof terms:Student. Person who attends or has attended a program of instruction sponsored byTexas A&M University.Education Records. Any records (in handwriting, print, tapes, film or other medium)maintained by the University, an employee of the University or agent of the Universitywhich is related to the student.Directory Information. Under the “Family Educational Rights and Privacy Act(FERPA),” the following directory information may be made public unless the studentdesires to withhold any or all of this information: the student’s name, UIN (UniversalIdentification Number), local address, permanent address, email address, local telephonenumber, permanent telephone number, program of study, classification, dates of attendance,participation in officially recognized activities and sports, degrees received, academichonors and awards received, and previous institution(s) attended.Currently enrolled students wishing to withhold any or all directory information itemsmay do so by going to the My Record tab in the Howdy Web portal, clicking on WithholdDirectory Information under “My Information” and submitting a completed form.The Withold Directory Information request remains in effect until the student revokesit or is deceased. Only currently enrolled students may request directory informationbe withheld.Statement of RightsTexas A&M University encourages students to exercise all of their rights under theFamily Educational Rights and Privacy Act. 20 U.S.C. 1232g. Operating under thepremise that the educational process is a cooperative venture between a student and theUniversity, we emphasize the following rights of eligible students:1. the right to inspect and review, with certain limited exceptions, the student’s educationalrecords, including the right to receive explanations and interpretations of therecords and to obtain copies of the records when such are needed to allow the studentto effectively exercise his/her right of inspection and review;2. the right to consent to disclosures of personally identifiable information contained inthe student’s education records, except to the extent that FERPA authorizes disclosurewithout consent.One exception which permits disclosure without consent is disclosure to school officialswith legitimate educational interests. A school official is a person or entity: (a)employed by the university or the university system in an administrative, supervisory,academic or research, or support staff position; (b) serving on a university governingbody or duly authorized panel or committee; or (c) employed by or under contract tothe university to perform a special task, function, or service for the university.
