Pre-qualification documentsmust be submitted 6 weeks before the kick off meeting.3.2.3.2. Job-related assembly instructions with risk analyses(overall)Job-related assembly instructions with risk analyses must be submitted to HPE 4 weeks beforework starts. Work can only start after the documents have been checked and approved.3.2.3.3. Supplementary documents for the HPE <strong>HSE</strong> <strong>plan</strong>must be submitted 4 weeks before the kick off meeting.3.2.3.4. Job-related assembly instructions with risk analyses(detailed)must be submitted 1 week before work starts.3.2.3.5. ReportsMonthly reportsThe data required for the monthly report (normally number of hours, events, number of staff) mustbe sent to HPE on the 1st working day of the following month.Accident, event and near accident investigations and reportsInformation on accidents, serious material damage (>10 thousand €) and fires must be sent to HPEimmediately as a rapid notification.Reports must be compiled as quickly as possible (in no more than 1 day) and forwarded to HPE.3.2.3.6. Checking the <strong>HSE</strong> recordsThe subcontractors' (including their subcontractors') <strong>HSE</strong> records are checked during audits or randomtest checks.3.2.4. Briefing obligations<strong>HSE</strong> management systems and legislation prescribe that all subcontractors must only employ appropriatelyqualified, trained staff for the respective work. This is to ensure that work on the site canbe carried out safely and without any negative consequences for the environment.HPE and the subcontractors must prove to the client that they have carried out the training programmein accordance with their internal health and safety at work management system.A manager from each subcontractor must take part in an <strong>HSE</strong> briefing held by HPE before workstarts on the site. Appendix 5 contains the corresponding form specifying <strong>HSE</strong> requirements andresponsibilities (cf.
