7. “Student" means any person who has matriculated at the university andcommenced classes, for whom the university maintains education records. Theterm does not include an individual who has applied for admission to but hadnot been in attendance at the university, nor does it include alumni status."Student" status terminates at the time a student ceases to attend classes andleaves the institution.Inspection and Review <strong>of</strong> Education Records1. Education records maintained: The <strong>University</strong> shall maintain the following types<strong>of</strong> education records:a. Personal data which identifies each student enrolled in the university,including full legal name, address, race, sex, date and place <strong>of</strong> birth, marriagestatus, names <strong>of</strong> spouse, name <strong>of</strong> parent or guardian.b. Description <strong>of</strong> student academic status including grade level completed,grades, standardized test scores and clinical evaluations <strong>of</strong> work competencyand achievement.c. Scores on standardized intelligence and aptitude tests.d. Scores on standardized pr<strong>of</strong>essional examination boards.e. Records <strong>of</strong> extracurricular activities.f. Health data relevant to educational assignments.g. Systematically gathered academic and clinical evaluations.h. Reports <strong>of</strong> disciplinary and criminal proceedings provided the reportscontain only factual information and not subjective information.2. Retention and security <strong>of</strong> recordsa. The <strong>University</strong> Registrar shall maintain all education records as well as anyand all records maintained by the central university administration, with theexception <strong>of</strong> the disciplinary and criminal records which shall be keptseparately by the Associate Dean <strong>of</strong> Student Services.<strong>2011</strong> – <strong>2012</strong> COM Student Handbook
