Services who will advise the student organizer <strong>of</strong> the necessary steps to follow in orderto schedule the event.Student groups (organizations, classes, etc.) can obtain a Student ActivityApproval/Room Reservation Request form from the Office <strong>of</strong> Student Services. TheStudent Activity Approval/Room Reservation Request form needs to be completed andsubmitted at least two weeks before the on-campus student event is to be held.Once the approval has been obtained for the on-campus student event, the StudentServices <strong>of</strong>fice and Food Services will assist the student organization to: coordinate thescheduling <strong>of</strong> the event, contact campus administration to arrange for security andhousekeeping, if applicable. If the student event is to be held at a location which iscontrolled by the Campus Facilities Office, the student organization will be notified bythe Student Services <strong>of</strong>fice <strong>of</strong> the procedure to be followed. Any event sponsored bystudent groups (organizations, classes, etc.) which violates any <strong>of</strong> the provisions <strong>of</strong> thepolicy on "On-Campus Student Events" will be subject to cancellation or termination.CATERING PROCESSStudents are required to use the <strong>University</strong>‟s Food Services for <strong>University</strong> sponsoredevents (whether held on/<strong>of</strong>f campus). The following process is required:• Catering requests must be submitted on the appropriate forms two weeks priorto the event. The event must be approved by the Dean or Associate Dean <strong>of</strong>Student Services.• If the event is large enough a representative from the student group may beasked to meet with the Master Calendar Committee to secure a date. The groupwill then need to meet with the Event Management Team to talk about logistics.• For smaller events the student group will meet with the Director <strong>of</strong> Food Serviceto discuss the event.• Payment is due upon receipt <strong>of</strong> the final bill and needs to be made in the Bursar‟s<strong>of</strong>fice.ALCOHOL POLICY FOR STUDENT EVENTSThe <strong>University</strong> will not authorize the use <strong>of</strong> general student fees or other fundscollected and administered by a <strong>University</strong> <strong>of</strong>fice or agency for the purchase, supply orserving <strong>of</strong> any alcoholic beverage or to partially or totally support events where<strong>2011</strong> – <strong>2012</strong> COM Student Handbook
