Security <strong>of</strong> all records shall be the responsibility <strong>of</strong> the Registrar, exceptingthose above-mentioned files which are the responsibility <strong>of</strong> the AssociateDean <strong>of</strong> Student Services.c. With the exception <strong>of</strong> records <strong>of</strong> disciplinary and criminal proceedings, theabove-enumerated records <strong>of</strong> subsection 2.a. shall be kept for at least 6 yearsafter the student leaves the school. Records <strong>of</strong> disciplinary and criminalproceedings shall be reviewed upon graduation to determine whether therecord shall be maintained for pr<strong>of</strong>essional certification or legally relatedreasons. If there is not sound legal or pr<strong>of</strong>essional reason for suchmaintenance, the records shall be destroyed upon order <strong>of</strong> the Dean <strong>of</strong>Students or designee.d. The Registrar shall at any time deemed appropriate, review any and allrecords for which he/she shall have responsibility. Such review shall be doneto eliminate those records which no longer have meaning in determining theeducational accomplishments <strong>of</strong> the student or which are inaccurate,misleading, or otherwise in violation <strong>of</strong> the privacy or other rights <strong>of</strong> thestudent.3. Right to inspect and review education recordsa. The university shall, permit a student who is or has been in attendance at theinstitution to inspect and review the education records <strong>of</strong> that student. Thisright to inspect and review includes the right to a response from theuniversity to reasonable requests for explanations and interpretations <strong>of</strong> therecords, and the right to obtain copies would effectively prevent a studentfrom exercising the right to inspect and review.b. Students shall not be permitted to inspect and review the following records:I. Financial records and statements <strong>of</strong> their parents or any informationcontained therein.II.III.Confidential letters and confidential statements <strong>of</strong> recommendationwhich were placed in the education records <strong>of</strong> a student prior toJanuary 1, 1975, provided that: (1) the letters and statements weresolicited with a written assurance <strong>of</strong> confidentiality or sent andretained with a documented understanding <strong>of</strong> confidentiality, and (2)the letters and statements are used only for the purposes for whichthey were specifically intended.Confidential letters and confidential statements <strong>of</strong> recommendationplaced in the education records <strong>of</strong> a student after January 1, 1975, with<strong>2011</strong> – <strong>2012</strong> COM Student Handbook
