Business English
However, most of us have practised understanding
in this way in the classroom
when learning a foreign language: listening
to and understanding recorded
conversations and also taking dictation
– both help in training yourself to understand
without the need to see the
person who is speaking. You can continue
to train this skill even if you are
not regularly in a classroom situation,
either with the help of a friend who also
wishes to practise the language or alone,
by using recordings with transcripts
as either comprehension or dictation
practice.
Th e other thing that helps is of course
real life practice: use English on the telephone
as oft en as possible, try and deal
with a call yourself, rather than fobbing
it off on to a colleague. Th at said, of
course there are words and phrases that
you will need for your English telephone
conversations, and this is where we can
help you.
Answering the phone
You have an incoming call – what
should you say? Or, alternatively, what
can you expect to hear if you make a call
to a company in an English- speaking
country?
> Th ank you for calling Tata Enterprises.
Rani speaking. How can I help you?
> Good morning/aft ernoon/evening,
SAP Bangalore, Chitra Malhotra
speaking.
> Hello, this is Nasreem Sayed, who‘s
calling please?
Identifying yourself
What should you say to let the other
person know who you are? Use one of
the phrases below:
> Th is is Chitra Malhotra speaking.
> Hello, this is Asha Bhaskar calling.
> Hello, this is Satish Patel from India
International.
> Good morning, this is Narinder
Virmani calling from Reliance India.
> Speaking.*
Lektion 11
Stating your purpose
Once you‘re through, it’s time to say why
you’re calling as soon as possible; aft er
all, “time is money”!
> I‘m calling about …
> Can we arrange an appointment?
> I’m calling to confi rm…
> I‘m returning your call.
> Could I speak to the person who …
> I’d like to talk to the person responsible
for…
Making contact
Ask for the person you’d like to speak to
by name if possible:
> Could I speak to Chitra Malhotra,
please?
> I‘d like to speak to Asha Bhaskar
please.
> Could you put me through to
Narinder Virmani, please?
Making excuses
If you have answered a call and have to
make an excuse for a colleague, these
phrases will help:
> I‘m sorry, the line‘s busy/engaged,
would you like to call back later?
> I‘m afraid he‘s away on business.
> She‘s not at her desk right now.
> I‘m afraid Mr Patel isn‘t in at the
moment.
> I‘m sorry, she‘s in a meeting today.
> I‘m afraid she‘s on another line.
> I‘m afraid Chitra’s not available.
* The person answering says this if the caller asks for him/her but either does not recognize the voice or doesn’t hear the name.
