Instructions for Scheduling Final Exam (Ph.D.)<br />
The scheduling <strong>of</strong> a doctoral final examination involves three steps (see <strong>Graduate</strong> School<br />
Bulletin):<br />
Step 1<br />
The first step is the submission <strong>of</strong> the Notification <strong>of</strong> Intent to Schedule a Final Doctoral<br />
Examination. The assistant dean for research and Ph.D. program or graduate student affairs<br />
<strong>of</strong>ficer will complete this form when advised by you or your committee chair. The form must<br />
be delivered to the <strong>Graduate</strong> School a minimum <strong>of</strong> eight weeks prior to the anticipated<br />
defense week. The submission <strong>of</strong> this form triggers two processes in the <strong>Graduate</strong> School.<br />
First, the student's record is reviewed to determine if there are any outstanding deficiencies<br />
("I" or "S" grades, satisfaction <strong>of</strong> residency requirements, time limits, etc.), and the student and<br />
assistant dean for research and Ph.D. program are notified <strong>of</strong> any such issues. Second, the<br />
<strong>Graduate</strong> School identifies and assigns an appropriate outside examiner for the final<br />
examination.<br />
In order to prepare the Notification <strong>of</strong> Intent form we need the following information from the<br />
student: (1) dissertation title, (2) dissertation abstract, (3) target defense date – provide a 1-2<br />
week window, and (4) suggested department from which the outside examiner could be<br />
selected.<br />
NOTE: Include the assistant dean for research and Ph.D. program when scheduling your<br />
defense. Also provide the assistant dean a draft <strong>of</strong> your dissertation at the same point you<br />
provide it to your outside examiner.<br />
Step 2<br />
The second step is the submission to the <strong>Graduate</strong> School <strong>of</strong> the Request for Final Doctoral<br />
Examination, which is the form that specifies the date, time, and location <strong>of</strong> the examination.<br />
This form must be submitted at least two weeks prior to the exam, and must be accompanied<br />
by the signed Dissertation Approval sheet. At this point in the process you must also deliver<br />
the draft dissertation to your outside examiner. The two-week lead time associated with this<br />
step is intended to accomplish the following:<br />
Step 3<br />
• It allows for sufficient notice to be provided to the <strong>University</strong> community regarding the<br />
final doctoral examination, which is a public event open to all members <strong>of</strong> the<br />
<strong>University</strong> community.<br />
• It insures that the outside examiner is provided with a finished copy <strong>of</strong> the dissertation at<br />
least two weeks prior to the exam, allowing sufficient time for review.<br />
Following the final exam (oral defense) students must submit two original unbound<br />
dissertation documents to the UK <strong>Graduate</strong> School in accordance with the <strong>Graduate</strong> School
