WJU reserves the right to refuse students to inspect the following records:<br />

1. Their parents’ financial statements.<br />

2. Letters <strong>of</strong> recommendation that are a part <strong>of</strong> the admissions file. Once students are admitted, all letters <strong>of</strong> recommendation<br />

will be destroyed.<br />

3. Records connected with an application to attend WJU or a component <strong>of</strong> WJU if that application was denied.<br />

4. Those records which are excluded from the FERPA definition <strong>of</strong> education records.<br />

Directory Information<br />

<strong>William</strong> <strong>Jessup</strong> <strong>University</strong> designates the following items as Directory Information: student’s name, parent’s name, address,<br />

telephone number, date and place <strong>of</strong> birth, major field <strong>of</strong> study, participation in <strong>of</strong>ficially recognized activities and sports, weight<br />

and height <strong>of</strong> members <strong>of</strong> athletic teams, dates <strong>of</strong> attendance, degrees and awards received, most recent previous school<br />

attended, and photograph. Students who do not want their directory information to be disclosed must make a written request to<br />

the Registrar during registration. If such action is chosen, WJU will not be allowed to announce any awards received, include<br />

students name and degrees earned in the graduation program, nor release any information to potential employers, graduate<br />

schools, or seminaries. WJU will be allowed to release directory information for students who do not waive their right to<br />

disclosure in writing.<br />

Policies on the Retention <strong>of</strong> Student Records<br />

All student records are clearly, and safely maintained, with transcripts held in fire pro<strong>of</strong>, lockable cabinets. Student records are<br />

handled in accordance with governmental regulations regarding privacy. These records, kept in computer storage, are only<br />

accessible with proper security clearances and are regularly backed up securely according to industry best practices. Duplicate<br />

copies <strong>of</strong> all transcripts are kept in a fire-safe storage area apart from the building where the originals are stored. Although there<br />

is certainly no anticipation <strong>of</strong> <strong>William</strong> <strong>Jessup</strong> <strong>University</strong> closing, if such an event were to occur there is a WASC accredited sisterinstitution<br />

which could become the custodian <strong>of</strong> records.<br />

Student Grievance Procedure<br />

Every student has access to a formal grievance process if so needed. In the event that a student has a specific concern about a<br />

policy <strong>of</strong> the <strong>University</strong>, the student is encouraged to communicate the concern in writing to the Vice President for Academic<br />

Affairs (for academic matters) or the Vice President for Student Development (for co-curricular matters). The Vice President will<br />

act to bring formal resolution to the stated grievance either by addressing the issue directly, or, if necessary referring the issue to<br />

the Registrar or Associate Dean <strong>of</strong> Students, as appropriate. If satisfaction is not achieved, a student may appeal directly to the<br />

President.<br />

Drug Free Workplace<br />

The Drug-Free <strong>School</strong>s and Communities Act Amendments <strong>of</strong> 1989 (Public Law 101-226) requires all schools receiving federal<br />

funding <strong>of</strong> any kind (i.e. College Work Study, Pell Grants, FSEOG) to notify all students and employees <strong>of</strong> the following<br />

information on an annual basis:<br />

1. The unlawful manufacture, distribution, possession, dispensation, sale, <strong>of</strong>fer to sell, purchase, and/or use <strong>of</strong> a controlled<br />

substance (defined in schedules I through V <strong>of</strong> the Controlled Substances Act 21, U.S. Code 812, as amended) on the WJU<br />

campus, at its <strong>of</strong>fsite locations, or at any WJU-sponsored activity is prohibited. Violation <strong>of</strong> this policy will be considered<br />

cause for dismissal.<br />

2. WJU is required to impose sanctions, up to and including dismissal from all programs <strong>of</strong> study, on any students engaged in<br />

the abuse <strong>of</strong> alcohol or the unlawful possession, use, or distribution <strong>of</strong> illicit drugs while on the property <strong>of</strong> WJU. In addition,<br />

students involved in such illegal activity are subject to legal sanctions under local, state, and federal law.<br />

3. The health risks associated with the use <strong>of</strong> illicit drugs and the abuse <strong>of</strong> alcohol are many. Detailed information concerning<br />

known health hazards resulting from the abuse <strong>of</strong> drugs is available in the library in the resource file entitled “Drug Free<br />

Campus.’’<br />
