inSync 5.2 Private Cloud – Administrator’s Guide About Users Users are individuals that use inSync to backup and share data from their devices. The administrator creates inSync accounts for users. A user can use inSync to backup data from multiple devices. To backup data from mobile devices, like smartphones or tablets, the inSync app must be must be installed and activated on it. Only the user can install and activate the inSync app. Similarly, to backup data from a laptop or a desktop, the inSync Client is required. Either the user or an administrator can install and activate the inSync Client. About Devices Any equipment from which data can be backed up using inSync is termed as a device. inSync can be used to backup data from laptops, desktops, smartphones, and tablets. A user can have multiple devices backed up by inSync. To backup data from mobile devices, like smartphones or tablets, the inSync app must be installed and activated on it. Only the user can install and activate the inSync app. Similarly, to backup data from a laptop or a desktop, the inSync Client is required. Either the user or an administrator can install and activate the inSync Client. The data backed up by inSync can be restored when required. Both the user and the administrator can restore data on a device. Data Backup and Restore Data Backup Backup is the process of copying and archiving of data from user devices to the inSync Server. If you want to backup data from a mobile device, inSync app must be installed and activated on it. If you want to backup data from a computer, inSync Client must be installed and activated on it. The user as well as the administrator can configure the files and folders that will be backed up from a device. The folders from which data is backed up are known as backup folders. Backups are scheduled to happen at regular intervals. However, they can be triggered as and when required. During a backup, only the data that has changed in the backup folders since the previous backup is uploaded to the inSync Server. 10
inSync 5.2 Private Cloud – Administrator’s Guide Note: The minimum time interval between two scheduled backups is 5 minutes. However, files larger than 128 MB can be backed up only after a 20 minute interval. Snapshots Whenever data is backed up from a device, a snapshot is created on the inSync Server. The snapshot indicates the state of the backup folders at a particular point of time. It lists the files and folders that were present in the backup folders when the device was being backed up. Snapshots are represented by the date and time when the backup was taken. Data Restore Restore is the process of retrieving archived data from the inSync Server. It is useful when the user has lost data from the backup folders or has lost the device itself. It is also useful when the user wants to retrieve and older version of the file. In such a situation, the file is restored from the relevant snapshot and not the latest one. The user can restore data on any of his devices. The administrator can restore data on the device from which it was backed up or on the inSync server. About inSync Share inSync Share is a functionality that allows uses of inSync to share data among their devices and with others. When inSync Share is activated for a user, an inSync Share folder is created on all his devices. Any file or folder stored in the inSync Share folder is accessible through any of the users device. An inSync Share user can share folders with other inSync Share users in the organization. These shared folders are inside the inSync Share folder and can have view or edit permissions. An inSync Share user can also create download link for a file or folder inside the inSync Share folder. The download link can be used by anybody to access the file or folder. 11
