Section 16 IPEDS Reports for 2003 - FunctionalIPEDS S1-Long Process Notes2. Check the Ethnicity Rule Form (PTRETHN). There are a few variations thatcan be used when establishing codes for this form. For example, only primaryethnic codes can be used, that is, only code 3 is used to identify employees inthe Hispanic category. In another example, some of the codes are brokendown to a more detailed level, that is, employees in category 3 are furtheridentified as Cuban (code 3C), Mexican American (code 3M), etc.If you have defined your ethnic codes to a more detailed level than 1, 2, 3, etc.,the detailed codes will be consolidated to the primary code in both the IPEDSDetail Report and the IPEDS Summary Report.3. If necessary, change the descriptions in the Rank Code Validation Form(PTVRANK) to match these codes.Rank CodeDescription1 Professor2 Associate Professors3 Assistant Professors4 Instructors5 Lecturers6 Other Faculty9 Non-Standard Academic RankingThe Rank Code Validation Form should contain only these values. It is stronglyrecommended that you do not change the above codes. Changing these valuesmay cause the IPEDS S1-Long reports to contain incorrect data.4. Review the Employer Rule Form (PTREMPR) to determine whether your StateSequence Number has been entered and is correct.To determine this number,look at the top of the second page of the survey document provided to you bythe Department of Education.The State Sequence Number field appears in the Report Information block onthe IPEDS/EEO Required Fields window of PTREMPR.5. Review your Citizenship Validation Form (STVCITZ) to ensure that the CitizenIndicator field has been checked for the group whose members are to bereported as U.S. citizens. When producing the IPEDS S1-Long reports, thesystem checks this form to determine which code identifies U.S. citizens.6. Verify that the Citizenship field on each employee’s Identification Form(PPAIDEN) contains a value. The information in this field is required for allemployees of U.S. Higher Education clients.
