Rather than tak<strong>in</strong>g a generic approach, companies should employ a comb<strong>in</strong>ation of<br />

engagement processes, formal and <strong>in</strong>formal, that encourage different members of a<br />

community <strong>to</strong> engage <strong>in</strong> ways that suit them. The choice of mechanism will depend<br />

on the community, complexity of the method, the issues <strong>in</strong>volved, levels of literacy,<br />

cultural appropriateness, gender considerations, resources available and the stage<br />

of the project. The choice of mechanisms will also be <strong>in</strong>formed by the processes<br />

outl<strong>in</strong>ed above.<br />

Offer<strong>in</strong>g a variety of vehicles, such as those <strong>in</strong> Table 3.2, <strong>in</strong>creases the likelihood<br />

of engag<strong>in</strong>g a diversity of people, from powerful <strong>in</strong>fluencers <strong>to</strong> people who are<br />

impacted and affected but have not traditionally engaged <strong>in</strong> public dialogue, such as<br />

marg<strong>in</strong>alised groups.<br />

Informal<br />

One-on-one impromptu discussions and <strong>in</strong>formal conversations: These are important for form<strong>in</strong>g<br />

and ma<strong>in</strong>ta<strong>in</strong><strong>in</strong>g relationships, understand<strong>in</strong>g personal perspectives and ga<strong>in</strong><strong>in</strong>g an appreciation of<br />

general community sentiment. Valuable <strong>in</strong>formation can be obta<strong>in</strong>ed from <strong>in</strong>formal <strong>in</strong>teraction with<br />

community members. However, companies need <strong>to</strong> recognise that <strong>in</strong>formal engagement with just a few<br />

<strong>in</strong>dividuals may be perceived as favour<strong>in</strong>g the views of particular <strong>in</strong>dividuals. In such circumstances<br />

there may be greater benefit <strong>in</strong> first establish<strong>in</strong>g open, transparent and public forms of engagement.<br />

Formal/structured<br />

Comb<strong>in</strong><strong>in</strong>g <strong>in</strong>formal and formal mechanisms provides greater depth <strong>to</strong> engagement programs.<br />

Public displays: In the early stages of a project, posters and models of proposed operations displayed<br />

<strong>in</strong> public locations, such as retail centres, councils and local fairs can expose the project <strong>to</strong> many people<br />

and raise public <strong>in</strong>terest <strong>in</strong> a project. Mobile displays can be used <strong>in</strong> remote locations. Feedback should<br />

always be sought.<br />

Brief<strong>in</strong>gs: Regular brief<strong>in</strong>gs of community stakeholder groups, such as the local media, government<br />

personnel, Indigenous leaders and employees are an important way of dissem<strong>in</strong>at<strong>in</strong>g <strong>in</strong>formation.<br />

Presentations should be tailored <strong>to</strong> meet the <strong>in</strong>formation needs of each group. Translat<strong>in</strong>g <strong>in</strong>formation<br />

<strong>in</strong><strong>to</strong> other languages may also be necessary <strong>in</strong> some cases; for example, when communicat<strong>in</strong>g with<br />

traditional Aborig<strong>in</strong>al communities.<br />

Public meet<strong>in</strong>gs: These may be useful <strong>in</strong> smaller communities; however, they require careful<br />

organisation, often with a skilled facilita<strong>to</strong>r, <strong>to</strong> ensure that everyone has the opportunity <strong>to</strong> voice<br />

concerns and <strong>in</strong>terests.<br />

Visi<strong>to</strong>rs centre: Establish<strong>in</strong>g or provid<strong>in</strong>g materials at a visi<strong>to</strong>rs centre can provide the local community<br />

with easy access <strong>to</strong> <strong>in</strong>formation about the operation, and can also serve as a venue <strong>to</strong> hold community<br />

meet<strong>in</strong>gs or brief<strong>in</strong>gs.<br />

Contact po<strong>in</strong>ts: Some sites operate 24-hour telephone l<strong>in</strong>es for provid<strong>in</strong>g <strong>in</strong>formation and as a method<br />

for record<strong>in</strong>g compla<strong>in</strong>ts and issues.<br />

Direct mail and newsletters: These are effective for <strong>in</strong>form<strong>in</strong>g specific people about the project,<br />

<strong>in</strong>clud<strong>in</strong>g how the company is respond<strong>in</strong>g <strong>to</strong> community concerns. Correspondence may be<br />

personalised, with support<strong>in</strong>g <strong>in</strong>formation, or it may be a regular newsletter describ<strong>in</strong>g community<br />

activities that the company is <strong>in</strong>volved <strong>in</strong>.<br />

Community liaison and advisory groups: Community liaison or advisory groups established<br />

specifically for the m<strong>in</strong><strong>in</strong>g project can help the operation focus its engagement program. See the<br />

or be focused on a particular aspect (establish<strong>in</strong>g a community funds foundation, plann<strong>in</strong>g m<strong>in</strong>e closure,<br />

rehabilitation). The success of these groups will depend heavily on how they are structured and whether<br />

their role is clearly def<strong>in</strong>ed and unders<strong>to</strong>od.<br />
