Most current tools also offer the user a wizard that can be used to build a query. Users can pick the tables that contain the data they need and then pick the fields from those tables. While knowledge workers are more and more often using databases and queries against databases in their jobs, database software is not yet commonplace in personal use. Most workers don‟t have that much personal data to manage or share, and often turn to a spreadsheet as a storage tool for such data. Databases and their use in organizations are discussed in more detail in Chapter 20, Information Technology and the Firm. Electronic Mail (E-Mail) and Instant Messaging E-mail is the most popular network application, as it has become the method of choice for communicating over both short distances (interoffice) and long distances. E-mail can be used to communicate with any other person on the local network or any other network within the organization‟s wide area network, as well as the Internet. (Networks are discussed in more detail later in this chapter as well as in Chapter 20.) Internet e-mail addresses often consist of a user name followed by the @ symbol, then a domain name (for example, the name of a company), then a period, then a domain type (frequently .com or .net). Thus, Jane Smith‟s e-mail address at GenRad might well be jsmith@genrad.com. If Jane also signed up for a free e-mail account with AOL, her address might be jane_smith@aol.com. Most e-mail software packages include a basic word processing application to be used to generate messages (letters). In addition, these packages can be used to keep contact lists and to send a document to numerous people simultaneously. A document, once sent, can be received within seconds by people thousands of miles away. One of the more advantageous features of e-mail is that a file—a spreadsheet, a graphic presentation, a word processing document, an Adobe pdf file, a picture, a video, or even a database—can be attached to a message and sent with the e-mail. Imagine that you have used a spreadsheet package to prepare a budget for your division in Boston. You print out your letter and spreadsheet and mail or ship it overnight to the main office in Chicago. You include an electronic copy of your spreadsheet on a CD-ROM so the individual in Chicago can merge it with the budgets from other divisions. Sometime within the next day or two, the recipient will receive the package. He or she will then read the information and use the file on the CD. Alternatively, using e-mail, you draft your thoughts as an e-mail message, electronically attach the spreadsheet file, and send it, via e-mail, to the individual in Chicago. Within a matter of seconds or minutes, he or she will receive the electronic package, read your message, and be able to extract your attachment and load it directly into a spreadsheet software package for processing.
