Using the Document<br />

Management System<br />

The Document Management System (DMS) lets you import<br />

Microsoft Office files along with other types of files into <strong>Ektron</strong><br />

<strong>CMS400.NET</strong>. (Non-Office files are known as managed files.)<br />

Collectively, these files are known as assets.<br />

After being saved to <strong>Ektron</strong> <strong>CMS400.NET</strong>, assets can be updated<br />

and tracked like HTML and XML content. If you’re familiar with how<br />

content is handled, most of what you know applies to assets. For<br />

example, assets<br />

• can be stored in folders with other content, or in separate<br />

folders that you create just for them<br />

• are assigned content ID numbers<br />

• can have summary, metadata, comment, task, schedule, and<br />

taxonomy information<br />

• inherit permissions and approvals from their folder properties<br />

• progress through the workflow (check out, check in, publish)<br />

• retain a history so you can restore earlier versions<br />

• can be searched<br />

• support foreign language editions<br />

• can have a task assigned to them<br />

• appear on content reports<br />

• update the Smart Desktop listing of files awaiting approval,<br />

checked out, tasks, to expire<br />

When an asset is imported to the CMS then saved, a copy of it is<br />

saved to the Document Management server. Then, whenever a<br />

user edits and saves the asset, a new copy is stored. In this way,<br />

you can review and, if needed, restore a prior version.<br />
