2011 – 2012Policies and Regulationsstudents progress in their academic career, the expected ratio orpercentage increases. The required ratios are represented in thechart below.Part Two: Acceptable Grade Point Average(Qualitative Standards)DegreesClass LevelPercentageof cumulativeunits takenwhich mustbe passed.Undergraduate Freshman 75%Undergraduate Sophomore 80%Undergraduate Junior 85%Undergraduate Senior/2nd BA 90%Post-baccalaureate/CredentialN/A 90%Graduate N/A 90%All students must maintain a grade point average of 2.0 (overall“C” average) to maintain financial aid eligibility. If studentsare placed on academic probation, they will be placed onsatisfactory academic progress probation as well. Being onprobation will allow a student to receive financial aid assistancefor one semester. At the conclusion of the semester, the FinancialAid office will review the student’s academic record anddetermine if they are in good standing and therefore able toreceive aid for the subsequent semester(s).Students disqualified by the University are automatically ineligiblefor financial aid based on qualitative standards of not achievinga 2.0 (C average) grade point average.Part Three: Unit and Time LimitsStudents working toward their first undergraduate degree arelimited to 180 earned units (including accepted transfer unitstowards the degree program), the equivalent of approximately6 years of full-time study. Students who have earned theirfirst undergraduate degree and are enrolled in a secondbaccalaureate program are limited to 48 earned units. Studentsin a credential program are limited to 48 earned units includingprerequisite courses. Students in a master’s program are limited to48 earned units including prerequisite courses.Part Four: Other Provisions IncompletesAny student who was granted an incomplete “I” grade andfailed to meet the conditions of the incomplete grade contractafter one year, will be given a grade of “IC” which is equivalentto an “F” and will be assessed under the qualitative standards ofthe SAP policy.Treatment of WithdrawalsIf a student has withdrawn from the university three times, thismay demonstrate unwillingness or inability to progress. In suchcases, the Financial Aid staff may determine that a student issubject to a more extensive review by the either the Director ofFinancial Aid, or the SAP Appeals Committee. Aid will remainon hold until this review is completed.Treatment of Repeated CourseworkThe Financial Aid office accepts repeated courses consistent withUniversity Policy limiting these units to 18 semester earned unitsin which a student earned a prior C- or lower grade. Additionalrepeated coursework may demonstrate unwillingness or inabilityto progress. In such cases, the financial aid staff may determinethat a student is not making satisfactory academic progress,according to policy.Treatment of Credit/Non-credit CourseworkBecause the University limits to 12 the number of generaleducation CR/NC units that can be used toward graduation,the Financial Aid Department views CR/NC courses in excessof the limit as not applicable toward the degree. Students whoexceed the maximum while receiving aid funds are subject toreview of continued eligibility.FA Funding/ Reinstatement Rules following a SAP AppealA student cannot be paid for any payment period in which anacademic progress standard was not met. If a student fails ‘SAP’policy at the beginning of an academic year but meets it later byevidence of sufficient documentation, the following rule applies:For Federal, State, campus-based, aid types may be paid onlyfor the payment period in which he/she regains progress. It is CIpolicy that retroactive Stafford loan payments for the entire periodof enrollment are not allowed.SAP Appeal ProcessWhen extraordinary circumstances are adequately documented,a student’s satisfactory academic progress may be re-evaluatedand adjusted. Students who fail to meet the satisfactoryacademic progress standards are addressed on a case-by-casebasis through an appeal process. Appeals are reviewed by theDirector of Financial Aid and the SAP Appeals Committee.Aid will be canceled upon notice of failing SatisfactoryAcademic Progress; however, the student has 21 days toappeal. The Director of Financial Aid will render a decisionand notify the student within 21 days of receipt of the appealdocumentation. If a student’s appeal is granted, he/she will beplaced on financial aid probation for a semester and grantedone semester of financial aid eligibility. At the end of thesemester, his/her academic record is re-evaluated to determine ifhe/she are off of probation and found to be in good standing.The Director of Financial Aid also reserves the right to extendprobationary status as necessary.Students who have completed all undergraduate degree courserequirements but have not graduated for any reason are noteligible for funding.Any financial aid award is tentative until the academic record isreviewed. For entering transfer students, the review is based onthe academic record on file at the time of first consideration (orwhen information becomes available).Failure to complete units in any term is evidence of failure tomake reasonable academic progress.
