B. Disclosure to OthersCI may disclose information from a student’s educationrecords to other than University officials only with writtenconsent of the student, except:a. To officials of another school where the student seeks orintends to enroll;b. To certain authorized government representatives;c. In connection with the student’s financial aid requestor award and the information is necessary for certainpurposes set forth in the regulations;d. To organizations conducting studies for or on behalf ofthe University;e. To accrediting organizations to carry out theiraccrediting function;f. To comply with a judicial order or lawfully issuedsubpoena and the University has made reasonable effortto notify the student of the order or subpoena in advanceof compliance;g. To appropriate parties in a health or safety emergency;h. To victims of crimes of violence or of a non-forcible sexoffense who requests the final results of a disciplinaryreview process held by the institution against theperpetrator on account of the crime or offense.i. In connection with the University’s obligation to respondto a request from military recruiters made under theSolomon Amendment.C. Records of Requests for Disclosure to Individuals OtherThan the Student or University OfficialsA record will be maintained of all requests for access to anddisclosures of information from the education records of eachstudent except as stated below. The record will indicatethe name of the party making the request, any additionalparty to whom it may be disclosed and the party’s legitimateinterest in requesting or obtaining the information. The recordmay be reviewed by the student. A record of disclosuresdoes not need be kept if those disclosures were made tothe student, a University official with legitimate educationalinterests, a party with written consent from the student, or aparty seeking directory information.D. Directory InformationThe University designates the following items as directoryinformation:a. Student’s nameb. University assigned e-mail addressc. Major field of studyd. Dates of attendancee. Full-time or part-time statusf. Degrees, awards, and honors receivedg. Dates degrees conferredh. Participation in officially recognized activities and sportsi. Weight and height of members of athletic teamsFor Student Employees:j. Department where employedk. Employee Status (i.e. Graduate Assistant, InstructionalStudent Assistant, Teaching Associate)Directory information may be released without prior writtenapproval unless notified in writing by the student that allinformation is to be held in confidence by the University.Requests to withhold directory information should be sent inwriting to the University Registrar. The student’s records willbe kept confidential until the student requests in writing thatthe confidentiality hold be removed.E. Challenge and Correction of Education RecordsStudents have the right to ask to have education recordscorrected that they believe are inaccurate, misleading, orin violation of the privacy or other rights of the student. Thefollowing are the procedures for correcting the records.a. The student must request an informal discussion of thequestionable item with the custodian of record, who willdetermine whether to comply.b. If the student is not satisfied with the result and still wishesto have the record corrected, the student must submit awritten request for a change in the education record.This written request must state why the education recordis inaccurate, misleading or violates the privacy or otherrights of the student. This request must be given to theVice President for Student Affairs (VPSA). The VPSA willthen forward the request to the appropriate division vicepresident for review.c. Upon receipt of the request, the appropriate divisionvice president shall obtain a written statement from therecords custodian that explains why the request forthe change in the education record was denied at theinformal stage.d. After a review, the appropriate division vice presidentwill notify the student whether or not the Universitywill comply with the requested change. If not, theappropriate division vice president will notify the studentof the right to a hearing to challenge the informationbelieved to be inaccurate, misleading, or in violation ofthe student’s rights. A copy of this communication will besent to the Vice President for Student Affairs.e. Upon receiving a written request for a hearing theVice President for Student Affairs shall arrange for ahearing within thirty (30) working days after receipt ofthe request. The student shall be notified at least fifteen(15) working days in advance of the date, time andplace of the hearing. The right to a hearing does notinclude any right to challenge the appropriateness of agrade determined by an instructor. The Vice Presidentfor Student Affairs or the Dean of Students can apprisestudents of the appropriate process for challenging agrade.f. The President shall appoint a Hearing Officer to conducta hearing. The Hearing Officer shall be a disinterestedparty; however, the Hearing Officer may be an officialof the University. The student will be afforded a full andfair opportunity to present evidence relevant to the issuesraised in the original request to amend the student’seducation records. In accordance with University policy,attorneys will not be permitted to attend the hearing.g. The Hearing Officer will submit a written decision tothe Vice President for Student Affairs (VPSA) based onthe evidence presented at the hearing.
