2.11 <strong>Case</strong> <strong>Record</strong><br />

Closed <strong>Case</strong> <strong>Record</strong><br />

A collection of related documents treated as a st<strong>and</strong>ard unit of<br />

work. Closed <strong>Case</strong> <strong>Record</strong>s will vary in size <strong>and</strong> may include<br />

several case segments.<br />

Closed <strong>Case</strong> <strong>Record</strong> folders measure 11 ¾ inches by 9 ¾ inches<br />

with a one inch folder expansion. See Definition of LEADER for<br />

description of LEADER Paper <strong>Case</strong> <strong>Record</strong>.<br />

Open <strong>Case</strong> <strong>Record</strong><br />

A collection of related documents treated as a st<strong>and</strong>ard unit of<br />

work. Open <strong>Case</strong> <strong>Record</strong>s are maintained for all open public<br />

assistance cases <strong>and</strong> consist of the following types:<br />

• Historical <strong>Case</strong> (a.k.a. “Master <strong>Case</strong>”) - Contains the<br />

historical documents for the open case since its inception.<br />

The Historical <strong>Case</strong> is used periodically by the eligibility staff.<br />

Under this Contract, all Historical <strong>Case</strong>s may be sent to<br />

Contractor for storage.<br />

• Desk Portion (a.k.a. “Boost <strong>Case</strong>”) - Contains pertinent<br />

documents from the Historical <strong>Case</strong> plus the most recent<br />

documentation obtained during the required annual eligibility<br />

determination. Currently, eligibility staff keeps the Desk<br />

Portion at their desks. The current Desk Portions may all<br />

eventually be sent to Contractor as a result of LEADER<br />

implementation at DPSS offices. Eligibility staff will have<br />

only a small LEADER Paper <strong>Case</strong> <strong>Record</strong> at their desks until<br />

the case is terminated.<br />

2.12 <strong>Case</strong> Segment<br />

<strong>Case</strong> <strong>Record</strong>s may consist of a varying number of <strong>Case</strong> Segments.<br />

Each <strong>Case</strong> Segment is contained in a separate manila folder <strong>and</strong><br />

may be identified as “Financial Folder,” “CalFresh/Food Stamp<br />

Folder,” or other label. Each <strong>Case</strong> Segment uses the same unique<br />

<strong>Case</strong> Number assigned to the master <strong>Case</strong> <strong>Record</strong>. Contractor<br />

shall retrieve the <strong>Case</strong> <strong>Record</strong>, including all <strong>Case</strong> Segments, as a<br />

single retrieval. The LEADER paper <strong>Case</strong> <strong>Record</strong>s do not have<br />

<strong>Case</strong> Segments.<br />

2.13 Closing Date<br />

A date assigned by County to each <strong>Case</strong> <strong>Record</strong> when it is closed.<br />
