■■moving of small heritage furniture such as chairs or coffee tables<br />

■■placement of non-heritage furniture in public access spaces<br />

■■provision of water for speakers<br />

■■flower arrangements<br />

■■banners, signage and other promotional material<br />

■■decorations such as balloons, streamers internally and externally<br />

■■provision of bar service<br />

7 <strong>PLAN</strong>NING CATERING ACTIVITIES<br />

7.1 GENERAL<br />

■■The overarching principle when planning catering activities within OPH is identifying and ensuring heritage<br />

fabric is protected before, during and after the catering activity.<br />

■■Catering activity should be planned such that heritage objects are avoided by catering staff.<br />

■■Time tables should ensure that heritage objects/fabric are protected before equipment and<br />

materials are moved into the area.<br />

■■Planning must include an assessment of the type of catering activity and its possible effect on the heritage fabric<br />

and objects within the area. Consultation with heritage staff may be required. Objects may need to be removed<br />

from an area if it is considered that the catering activity will put it at risk.<br />

■■Planning should include ensuring enough staff are allocated to supervise<br />

■■the handling of heritage items should this be required.<br />

7.2 RISK ASSESSMENT<br />

■■Some catering activities may be too risky to proceed with because of the potential for physical damage.<br />

■■The contractor must consider the maximum number of people able to be safely accommodated within an area<br />

without risk to heritage fabric, especially to surfaces at bottlenecks.<br />

■■Define a safe area for the storage of catering equipment remaining on site during catering activity.<br />

8 THE IMPACT OF CATERING ACTIVITIES<br />

8.1 NEED FOR NATURAL <strong>AND</strong> ARTIFICIAL LIGHTING OF SPACES <strong>AND</strong> ITEMS<br />

This impact tends to be caused inadvertently by caterers utilising the building.<br />

Likely form of damage Fading, brittleness, discolouration<br />

The following table identifies a number of potential Actions associated with addressing damage from viewing.<br />

Permitted Actions<br />

Occasional additional lighting may be used<br />

in areas designated. However extreme care<br />

should be taken when positioning lights to avoid<br />

combustible and fragile surfaces. Cool lights,<br />

filtered for ultraviolet radiation, should be used.<br />

Installing stable, non-abrasive, clean type of<br />

hard or soft clear protective UV cover that<br />

is removable and does not require fixing<br />

to heritage fabric to keep it in place.<br />

Repositioning of movable furniture or other portable<br />

items away from direct sources of UV damage within<br />

the same room provided it is carried out in accordance<br />

with the Caterers Permitted Action Schedule.<br />

Not Permitted Actions<br />

Altering the lighting levels in areas by<br />

installing new light fittings.<br />

Fixing protective covers in any way directly to heritage<br />

fabric. This includes the use of any form of fixing<br />

tape not previously approved by OPH Heritage staff.<br />

Repositioning of movable furniture or other<br />

portable items without reference to the<br />

Caterers Permitted Actions Schedule and prior<br />

consultation with the OPH Heritage staff.
