Section 6 Data Load Procedures<br />

Running the Data Load Process<br />

• Student listing (rcrtpxx_jobseqno_apps.lis). This report lists the records<br />

processed, if the Need Analysis was load as the current record, and if<br />

NSLDS data was loaded as the current record.<br />

• Discrepancy report (rcrtpxx_jobseqno_need.lis). If the Need Analysis<br />

Print option has been selected (parameter 06), this report will display<br />

discrepancies between the new record being loaded and the existing<br />

current Federal record.<br />

• NSLDS Discrepancy report (rcrtpxx_jobseqno_nslds.lis). If the NSLDS<br />

Print option has been selected (parameter 05), this report will display<br />

discrepancies between existing and new NSLDS information.<br />

• Errors – Students Not loaded or errors encountered loading data<br />

(rcrtpxx_jobseqno_errs.lis). If errors are encountered when Data Load<br />

part 3, the name, ID, match status, and the error received will be listed. If<br />

the record could not be loaded, the Match status for the record will be<br />

updated to Suspense with an error code of 31 - Record not created. Failed<br />

Data Load Part 3. If the record was created but not all data could be<br />

inserted, the error listing the data will be provided; i.e., able to create the<br />

ID and biographical information for the record, but could not insert the<br />

address due to missing data.<br />

5) Review the Records on the Suspended Records Maintenance Form<br />

(RCRSUSP).<br />

Records that are assigned a status of Suspend, Hold, Duplicate, *, or Error during<br />

Data Load Part 2 (RCPMTCH) display on the Suspended Records Maintenance<br />

form (RCRSUSP); records assigned a status of Match or New during the RCPMTCH<br />

process do not appear on the form. Only status codes of Duplicate, Error, Hold and<br />

Suspense may be resolved from the RCRSUSP form. If the status code is an asterisk<br />

(*), there is a data integrity problem with this student that needs to be resolved prior<br />

to loading this student (duplicate pidm exists). The status cannot be updated from<br />

an (*) on the RCRSUSP form. If the status code is E, which means that a required<br />

field is null, the data can be corrected in the temporary table (top section) on this<br />

form and you can update the status.<br />

SunGard <strong>SCT</strong> recommends working directly from the output report from the<br />

RCPMTCH process as it lists all the students in the Suspense file and the status code<br />

of each. To have this report you must print a copy of the Data Load Match Process –<br />

All Records report.<br />

The Data Load Record Window of the RCRSUSP form displays data for a record in<br />

the temporary tables, including a temporary ID assigned during Data Load Part 1<br />

(RCBTPxx, RCBCTxx). The ID may be the Social Security Number from the<br />

incoming record or a temporary generated ID depending on your parameter choice<br />

during Data Load part 1 (RCRTPxx, RCBCTxx). The RCPMTCH status and any<br />

associated error code also display. Error code descriptors are printed in the Data<br />

Load match Process – All Records report and display on RCRSUSP as part of the<br />

Error field. The Match Results Window on RCRSUSP displays student data that<br />
