d. Charter Clubs must amend its Bylaws and rules to<br />

keep them current and conform to PtHA Bylaws and<br />

rules.<br />

e. Charter Clubs shall uphold the Bylaws, rules and<br />

policies of the PtHA.<br />

4. Submit any and all rules and regulations of the Charter<br />

Club to PtHA.<br />

5. Once a Charter is granted, the Charter Club must file a<br />

renewal form with PtHA each year by February 1, in order<br />

to be considered an active Charter.<br />

C. Approval Process for Charter Clubs<br />

1. The PtHA Charter/Membership Committee will decide,<br />

based upon the best interest of the PtHA, whether an<br />

application will be forwarded to the PtHA Executive<br />

Committee for approval.<br />

2. Upon receiving any application for a new Charter Club in a<br />

state where a Charter Club/s currently exits, the PtHA will<br />

notify all existing Charter Clubs in that state or international<br />

area, and solicit input regarding such application.<br />

3. Once a Charter Club is approved, it may not engage in<br />

any business or activities in the name of, or on behalf of,<br />

directly or indirectly, the PtHA, without written consent of<br />

the Executive Vice-President of the PtHA.<br />

4. In the event any activity is undertaken with the consent of<br />

the PtHA, it shall be named as co-insured on any policy of<br />

insurance covering any of the risks attending such event.<br />

D. Charter Club Presidents Advisory Committee<br />

Presidents of Charter Clubs shall meet annually to form<br />

an advisory group to the President of PtHA. The PtHA Past<br />

President will conduct this meeting. This group shall in no<br />

way have the power to modify or change rules, policy or<br />

regulations.<br />

E. Annual Charter Club Requirements<br />

Charter Clubs must continue to meet specific requirements<br />

and demonstrate a minimal level of activity, which shall<br />

include, but not be limited to the following:<br />

1. Maintain a membership of twenty (20) members, ten (10)<br />

of whom are members in good standing of PtHA.<br />

2. Submit an Annual Report, signed by the President or<br />

Secretary, to be completed at an annual meeting of its<br />

members due each year by February 15th.<br />

3. Notice of new officers and directors must be sent to the<br />

PtHA within thirty (30) days of the election, but no later<br />

than February 15th of each year.<br />

4. A complete membership/address list of paid members, due<br />

July 15th of each year. Please include PtHA membership<br />

numbers where applicable.<br />

5. Submit to the PtHA Business Office, bylaws with the first<br />

Annual Report and any subsequent reports, if any changes<br />

have been made during that year.<br />

6. Provide a minimum of one (1) Charter Club approved<br />

or sponsored show, or event or PtHA approved <strong>Pinto</strong> or<br />

Specialty show, per year.<br />

7. Charter renewal due date into the PtHA Business Office is<br />

February 1.<br />

F. Request for Charter Club Information/Corrections<br />

1. Failure to respond to PtHA request within sixty (60) days<br />

of the written notice will result in requests for future horse<br />

shows being denied until said information has been<br />

received.<br />

2. Failure to respond to a second request from PtHA within<br />

thirty (30) days of the written request may result in the<br />

<strong>2011</strong> PtHA <strong>Rule</strong> <strong>Book</strong> 31<br />
