(c) After repair, the Contractor shall bring the machine to its satisfactory & acceptable working condition. Sub standard / repaired Spare parts in lieu of irreparable components will not be accepted at GAIL as a spare parts replacement. (d) The outside cleaning of all the Systems / Sub-systems will be done at least once a quarter. Cleaning of internal parts of the Systems will be done by the contractor during preventive maintenance. Required portable vacuum cleaner, brush, tools and cleaning agent / material etc. shall be arranged by the contractor. The external cleaning shall be done by using standard cleaning agents which do not cause any damage to the Systems / Subsystems. (e) Contractor will educate the users at GAIL regarding the best practices of using the PCs like not sharing the hard disk, protecting the PC with Screen saver, setting of clock as per IST etc. The users will be educated and trained so as to ensure the proper implementation of the available feature available with Desktop / laptop. (f) Contractor shall ensure that all the PCs are configured for auto updating of the VIRUS signature from a central server (provided by GAIL) having the latest active VIRUS definitions at respective locations. Such VIRUS updations shall be ensured & carried out by the Contractor on all the PCs on a weekly basis. (g) The Contractor shall make his own arrangements for bringing the spare parts, software tools & testing equipments for providing the services. The Contractor shall maintain sufficient inventory of frequently required OEM / OEM certified / genuine spare parts like Motherboard, CPU, RAM, DAT Driver, CD Drive, Power supply, Hard disks, Keyboard, Monitors, CRTs, Mouse, device drivers, utility software, various cables, connectors and other spare parts of Servers & Networking devices etc., to ensure fulfillment of SLR. However, GAIL will extend the facility of storage of these items under lock & key, at the risk of the Contractor at major office / plant locations. GAIL will not be held responsible for any missing standby Systems / spare parts / tools etc. from the inventory of the contractor. (h) The Contractor shall ensure uninterrupted availability of OEM / OEM certified / genuine spare parts of PCs, Printers, Scanners, UPS & other Peripherals. Contractor must be having sufficient expertise & required resources available for prompt maintaining / servicing / repairing of PCs & Peripherals. A comprehensive list of such spares will be provided to the respective IT in charge. (i) If any System / Sub-system give repeated / recurring problems, resulting in recurring failure of the System then the system shall be immediately replaced by the Contractor with same make & similar or higher model / configuration System, acceptable to IT In-charges of respective sites. 148
(j) Few Systems / Peripherals, covered under MSS / FMS are installed at the residence of senior officers of GAIL. If required, Contractor shall be required to attend the maintenance calls at their residence through resident Support engineers. GAIL shall provide a list of such PCs / Peripherals to the Contractor. (k) At each site, the contractor shall maintain device drivers, Patches, software tools, such as data recovery tools from crashed Hard Disk or mistakenly crashed hard disk, Registry maintenance tools and any required tools and utilities on Central Help Desk for making it available on LAN /WAN all across GAIL locations. This activity shall be completed within one month of commencement of MSS & FMS contract. (l) In case of Hard Disk failure, the contractor shall make all attempts possible to retrieve the data & transfer to new Hard disk. Contractor shall make available required Data recovery tools at all sites. In case, it is not possible to recover the data using the tool, the contractor should recover the data through reputed Data Recovery Agencies. In case the Data Recovery Agencies also fails to recover the data, the report from the Agency has to be produced to GAIL. (m) GAIL will also make the best efforts to recover the data from any other external agency and data recovery charges so incurred by GAIL will be deducted from the subsequent quarterly bill of the contractor. 2.1.5 PREVENTIVE MAINTENANCE (PM) (a) The contractor shall follow a strict preventive maintenance schedule for all Systems covered under MSS Supports and carry out the same at least once in a quarter. The contractor must ensure that he maintains a datasheet for each machine available, which will contain the configuration of each machine and dates of completion of various preventive maintenance activities. (b) The Contractor shall carry out Preventive Maintenance as per check list format given under Annexure-‘H’ and get it signed from the individual IT Users. The contractor shall submit / maintain record of completed service report, alongwith signature obtained from users ensuring satisfactory completion of jobs. The Contractor shall submit these reports for verification by the engineer-In-charge at the time of submission of their quarterly invoice to GAIL. (c) Internal cleaning of all the systems, sub-systems & peripherals, covered under the contract shall be carried out by the Contractor during Preventive Maintenance using portable vacuum cleaner / tools / brush / cleaning agents etc. (d) During quarterly PM of Machines, in addition to attending the specific complaints, Contractor will make suitable use of trouble shooting / diagnostics Software tools, installed and available with each Desktop / laptop, to reconfirm the hardware configuration of each PC / Peripherals 149
