equipment. Any discrepancy noticed in configurations shall be brought to<br />

the notice of the both BIS dept. and User departments of respective sites<br />

by the contractor and shall be highlighted in the PM record. PM activity<br />

shall also inclue systems health monitoring, Proper shut-down of PCs,<br />

Virus / Worm scanning & removal to be carried out in addition to<br />

attending the specific complaints.<br />

(e) Schedule of quarterly PM activity is to be prepared by the contractor and<br />

agreed by EIC of respective sites. Failure of PM on any System shall be<br />

recorded and submitted to respective EIC.<br />

2.1.6 BREAKDOWN MAINTENANCE<br />

(a) The Contractor will carry out breakdown maintenance by visiting the<br />

installation, whenever there is a requirement. These visits for breakdown<br />

maintenance will be independent of the visits for Preventive<br />

Maintenance. However, when breakdown maintenance becomes<br />

necessary, there may not be any separate visit required for scheduled<br />

preventive maintenance, provided Preventive maintenance is also carried<br />

out by the Contractor’s service engineer during the visit.<br />

(b) After carrying out preventive & corrective Maintenance, the Contractor<br />

service engineer will meet / communicate to concerned user of the<br />

System / Sub-system about the visit and will fill up the service call report<br />

being maintained for such purpose and get it signed by the user, after<br />

demonstrating its operatioinal working condition.<br />

2.1.7 ONE TIME MAINTENANCE CHARGES<br />

(a) The Contractor shall inspect all the Hardware & submit detailed Hardware<br />

status, Configuration & inspection report of all Systems / Peripherals.<br />

Inspection report so generated at various sites shall be signed both by<br />

the Contractor & respective site IT / Engineer-In-charge’s (EIC) before<br />

start of the contract. All the non-operational Systems will be identified by<br />

the contractor and report shall be submitted to respective EIC’s.<br />

(b) In case no such report is made available by the Contractor at the<br />

respective sites IT Incharge’s with in a period of 30 days from the issue<br />

of FOI it will be presumed that all the Hardware / Software at the<br />

respective sites are working fine and shall deemed to be covered under<br />

the scope of the Contract from the date of signing the contract at<br />

respective sites. <strong>GAIL</strong> will refuse to honor any further claims what-soever<br />

made by the Contractor beyond this period in this regard.<br />

(c) In case of non operational Hardware, identified during the joint<br />

inspection at respective sites, Contractor shall quote one time lump-sum<br />

maintenance charges as “One Time Maintenance Charges” (OTMC) for<br />

making the identified faulty Hardware functional. Contractor shall provide<br />

a list of spare parts along with their part nos., required for making<br />

system operational along with the actual repair / replacement costs of<br />

parts for each of such identified hardware.<br />

(d) One time Maintenance charges will also be applicable during the<br />

execution of the contract in case of damage of IT Assets at any site due<br />
