2.2.11 CREATION OF PROCESS DOCUMENT<br />

For carrying out the MSS & <strong>FMS</strong> Services, the contractor shall create a<br />

Process Document, within one month of commencement of the contract.<br />

The payment against MSS & <strong>FMS</strong> shall only start after this process<br />

document is accepted by <strong>GAIL</strong> and circulated to all site offices. This<br />

document shall define all the processes, industry best practices and<br />

standard operating procedures (SOP), the processes involved to meet all<br />

the requirements in the scope of work and SLR, checklist for monitoring of<br />

performance and various activities and MIS reporting. This document<br />

needs to be updated with best industry support procedures on quarterly<br />

basis and updated copy of same shall be submitted to <strong>GAIL</strong>.<br />

2.3 STANDBY / SUBSTITUTE OF HARDWARE, NOT REPAIRABLE AT SITES<br />

In case, it is not possible to repair some faulty System / Sub-system /<br />

Peripherals at sites and has to be taken out from <strong>GAIL</strong>’s office for repairs /<br />

fault rectification, gate pass will be issued to allow the movement and<br />

removal of such systems from <strong>GAIL</strong>’s premises. The Gate Pass shall bear<br />

details like Make, Model, S.No., Qty. etc of the System / Sub-System/<br />

Peripherals, being taken out which shall be re-verified by <strong>GAIL</strong> IT in charge<br />

on the return of the same by the Contractor. In case of delay of repaired<br />

systems’ return beyond a period of 15 days, the Contractor shall inform the<br />

reasons of the unavoidable delay to the respective IT in charge.<br />

In case standby equipments have been provided in place of non-operational<br />

<strong>GAIL</strong> equipments for the period more than one week, additional similar<br />

standby equipment shall be replainished by the contractor to maintain the<br />

agreed standby stock quantity at respective site’s.<br />

The packaging / un-packaging, transportation, loading / unloading,<br />

connection / disconnection, configuration / re-configuration and any<br />

associated activity with the repair and maintenance shall be the sole<br />

responsibility of the Contractor, under scope of contract.<br />

Contractor shall provide a consolidated monthly report of such systems /<br />

sub-systems to Engineer-In-Charge of the site which have been taken out<br />

and brought back at <strong>GAIL</strong>, after repairs.<br />

The Contractor shall immediately provide working replacement for such<br />

Systems which have been removed from <strong>GAIL</strong> premises for repairs, to<br />

maintain systems uptime as per SLR. The replacement provided by the<br />

contractor shall either be similar or higher in configuration. In case<br />

Contractor fails to restore <strong>GAIL</strong> equipment after successful repair within a<br />

period of maximum one month, permanemt replacement of the equipment<br />

shall be arranged by the contractor, replacing the same by a equipment of<br />

same make with similar or higher model / configuration in all means,<br />

acceptable to respective site IT-incharge.<br />
