Data Management and Compiling Databases<br />

• Click desired radio button to select ‘Text’ or ‘Graphics’ as<br />

the Print Mode.<br />

• Click desired radio button to select a Print Selection option:<br />

‘Print Record’ allows printing of the selected record, which<br />

is the record with an arrow icon in the row heading. ‘Print<br />

Page’ allows printing of all the records that appear on the<br />

spreadsheet. ‘Print All’ allows printing of all the records in<br />

the Data File.<br />

• Click the Print Fields button to print the ‘information’ fields<br />

that are in the spreadsheet.<br />

• Click the Print Results button to print each identification<br />

report printout.<br />

6. Select the Edit In/Out tab to label a record (used in the Data File<br />

compilation feature, Sec. 7 page 7). Users without the Data File<br />

Edit privilege are prevented from accessing this page.<br />

CLOSE-UP OF DATA FILE COMPILATION OPTIONS IN DATA FILE EDIT DIALOG<br />

• Click desired radio button to select a ‘Prompt Before Edit’<br />

option. Note that the ‘Prompt’ option will prompt the user for<br />

an OK button click before applying any edit.<br />

• Click desired radio button to select an Edit Mode option:<br />

OK (to include a record in compilation)<br />

Out (to exclude a record from compilation,<br />

while indicating that it will never<br />

become eligible in the future)<br />

Hold (to exclude a record, while indicating<br />

that it may become eligible in the future)<br />

Atypical (to exclude a record, while indicating<br />

that it may become eligible on a<br />

contingency basis)<br />

• Once you have selected to Edit Mode, click on the row to label<br />

the record in the spreadsheet. Note that the same edit may<br />

rapidly be applied to many records by clicking many records in<br />

succession.<br />
