NOTE: All the writing will be made on the folding back of the covers with lead pencil.<br />

Nothing shall be written on the front or the back of the file cover.<br />

9. On arrangement of records, the same shall be forwarded to the Team Incharge<br />

who shall ensure that SOP has been followed in arranging 7 weeding out of record.<br />

10. The arranged record will then be forwarded to the Computer Operator for cross<br />

matching of manual record with the electronic record maintained in the Collectorate to<br />

ascertain hat there is no variation in the manual record vis-à-vis the electronic records.<br />

Besides, he shall carry out cross-matching of the sales tax registration number or as the<br />

case may be, Federal Excise license number with the master index database and validate<br />

the same.<br />

11. The Computer Operator shall also record the data in the prescribed spread sheet<br />

appended as Annex-B. In case the registration / license number mentioned in the record<br />

does not tally with the master index / database, the computer operator shall record the<br />

data in a separate spread sheet appended as Annex-C, which shall be forwarded to the<br />

concerned officer incharge of the Computer Cell, or as the case may be, Database<br />

Administrator (DBA) for necessary action.<br />

12. After the Computer Operator is finished with his part, the new record shall be<br />

sent to the new record Room.<br />

RESPONSIBILITIES OF PROCESSING & ASSESSMENT DIVISION<br />

1. For the purposes of data cleansing, the processing & Assessment Division of<br />

each Collectorate shall identify inactive registrations i.e. the registered persons not filling<br />

tax returns for six consecutive months and issue them notices for de-registration.<br />

2. the Incharge processing & Assessment Division shall also ensure that a taxpayer<br />

is registered under proper business category and that the business activity declared him in<br />

ST-1 registration form is properly fed in the system.<br />

NEW RECORD ROOM<br />

1. New Racks will be housed in this room where the arranged record will be placed<br />

according to the serial numbers allotted.<br />

2. The officer Incharge of the new record room will send the requisition of staff to<br />

the concerned Additional Collector for their appointment / posting in the new record<br />

room.<br />

3. Normally, the record shall have the following staff. However, larger offices<br />

(RTO) may have larger complement of staff according to their actual needs.
