361. Account of charges on goods despatched and received. – The entries in this<br />

Account (SK-52) which is kept in postal stock depots only, comprise particulars of goods<br />

despatched and received by railway and steamer, and of the amounts paid as railway or steamer<br />

freight, as well as other incidental charges, such as cart hire, mazdoor hire, boat hire, toll etc.<br />

362. Index of invoices despatched. – (1) The entries in this index (SK-53) comprise the<br />

serial Nos. assigned to the invoices despatched, the dates of despatch of invoices and the date of<br />

receipt of acknowledgement. Invoices should be numbered in a consecutive annual series for each<br />

office, and a fresh index should be begun for each year on the 1 st April.<br />

(2) Except when there are articles for despatch on the 31 st March, or when an invoice is<br />

issued on this date under Note 2 below Rule 372, a service post card in Form SK-53 (a) showing<br />

the closing No. of the annual series should be sent by the stock depot to each office to which<br />

articles are supplied by it. The closing No. should also be noted on the reverse of the last invoice.<br />

(3) On receipt of intimation that a post office or record office is to be closed before the end<br />

of an official year, the stock depot should send to it in time, in the manner prescribed above, a<br />

service postcard bearing the closing No. of the series of invoices despatched to that office and note<br />

this No. on the reverse of the last invoice.<br />

363. Statement of expenditure - The Manager should keep up a statement of expenditure<br />

and should see that the expenditure, as incurred or sanctioned by the Head of the Circle and<br />

communicated to him, within the proper proportion (for the period up-to-date) of the whole<br />

allotment for the year.<br />

364. Articles kept in a stock depot. – The articles kept in reserve in a stock depot are<br />

detailed below. A sufficient stock of these articles must always be maintained in all stock depots.<br />
