EQUIPMENT AND FACILITIES FOR COUNCILLORS<br />

Equipment and Facilities at the <strong>Council</strong> Administration Building<br />

3.3 <strong>Council</strong>lors shall be provided with equipment and facilities at the <strong>Council</strong><br />

administration building. Equipment provided under this clause remains the<br />

property <strong>of</strong> <strong>Council</strong>. The following equipment and facilities shall be<br />

provided at the <strong>Council</strong> administration building:<br />

<strong>Council</strong>lors’ Room and resources<br />

A room furnished for use by all <strong>Council</strong>lors shall be provided by <strong>Council</strong>.<br />

Included in the <strong>Council</strong>lors’ Room shall be:<br />

• A computer, printer and peripherals for use by all <strong>Council</strong>lors<br />

• A website directory <strong>of</strong> relevant local government internet sites<br />

• A technical library<br />

• <strong>Council</strong>lors’ robes for <strong>of</strong>ficial, civic and ceremonial use.<br />

Executive Assistant<br />

A qualified and experienced Executive Assistant shall be provided to support<br />

all <strong>Council</strong>lors. The Executive Assistant shall be responsible to the General<br />

Manager.<br />

Correspondence Processing<br />

<strong>Council</strong> shall post all correspondence for <strong>Council</strong>lors relative to the<br />

discharge <strong>of</strong> the functions <strong>of</strong> civic <strong>of</strong>fice. <strong>Council</strong> shall provide letterhead<br />

for use by <strong>Council</strong>lors in replying to correspondence.<br />

<strong>Council</strong> shall provide follow up procedures for correspondence by<br />

<strong>Council</strong>lors. Such follow-up for correspondence is to be carried out by the<br />

General Manager or delegate.<br />

Copies <strong>of</strong> all correspondence by <strong>Council</strong>lors including facsimile transmission<br />

sheets shall be placed in folders in the <strong>Council</strong>lors' Room for reference by all<br />

<strong>Council</strong>lors.<br />

Correspondence by <strong>Council</strong>lors relative to the discharge <strong>of</strong> the functions <strong>of</strong><br />

civic <strong>of</strong>fice is considered <strong>of</strong>ficial correspondence <strong>of</strong> <strong>Council</strong> where the matter<br />

is referred to the General Manager for attention. The correspondence shall<br />

be attached to the appropriate <strong>Council</strong> file for registration, attention and<br />

reply.<br />
