12 Shipment 12.8 External Transportation Planning System A totally different method to create shipment documents is the external transportation planning system. Whereas the SAP system can only select delivery documents that meet certain specifications, an external transportation planning system can plan in a more dynamic manner. For example, I got to know an external planning system that used a route planner to group delivery documents pending so that the routes are optimized with an utilization of the vehicles by almost 100% and an optimization of the route distances. This results in 20–30 % savings in transportation costs. If such an external planning system is certified by SAP software, you can connect the systems with just a few technical and organizational settings. For this purpose, SAP software has developed TPS (Transportation Planning System) to guarantee a standardized and integrated process implementation. This chapter, however, only refers to the organizational settings. In the SAP system, the delivery documents are sent to the external TPS via IDocs. There, the delivery documents are planned as 428 © 2014 by Galileo Press Inc., Boston (MA)
External Transportation Planning System 12.8 routes, and subsequently sent back to the SAP system via IDocs, where shipment documents are created. Parallel to this process, it may be necessary to transfer master data to the external TPS to consider, for example, goods receiving hours of the ship-to party. If the shipment document has been created via the external TPS, the users of the SAP system are responsible for maintenance and further processing. Prints and documents are also created in the SAP system. A fixed transportation planning point is assigned to the external TPS to create shipment documents. Because the TPS is implemented via ALE technology and the asynchronous Remote Function Call (RFC), TPS has a logical name. This name is assigned to the transportation planning point. Settings can be made in the Customizing. The individual points can be accessed via Logistics Execution • Transportation • Interfaces • External Transportation Planning Systems. Here, you have to set the technical connection and the process flow. The individual steps are displayed in Figure 12.57. Figure 12.57 Individual Steps for Setting an External Transportation Planning System As I only refer to the process and not to the technical settings, the first step is to assign the transportation planning point to an external system, because the organizational unit for the creation of shipment documents is mandatory (see Section 12.2.1). Moreover, at this point you have to specify with which number range the shipment documents are supposed to be created. Once the shipment documented is created, you have to define which changes may be implemented in the shipment document. There are only a few options: no restrictions for possible changes or no allowance to change fields relevant for planning. To send delivery documents to the external planning system, you must maintain and set the “TPS0” output type for this process.
