TRAVEL$ENSE131Five data fields are mandatory and the Valuation Class is optional. Use the dropdownmenus next to each field to set its position and if applicable specifywhether it is optional. Make sure your definition includes Position 1 throughPosition 5. The key, Aircraft ID, is optional and will be generated by Travel$enseif not supplied. For more information, see Employee Level Profiles on page 56.Importing Passenger ProfilesTo import passengers from an ASCII text file from your PC or network, clickon the Import button. The screen below lets you arrange the format of theinput file. All records in your input file must have the same format. An input filecan be easily prepared from most major spreadsheet and database programs. You can select from three common field separators (e.g. comma separated) andthree common text delimiters (e.g. double quotation character). These optionsexactly match those used by Microsoft Access. In many cases this will be the largest and most important file that you willimport into Travel$ense. You regularly can obtain new files and import them tohave any new passengers added and any changes to existing passengers (title, department, level) applied. This could involve a regular data file from yourhuman resources department or from your flight department software.Flight department software cannot provide the employee level field. This meansall imported passengers are assigned to the first (lowest numeric ID) level andyou normally would have to review and edit all such imported passengers.Copyright © 1999, National Business Aviation Association, Inc.
