TRAVEL$ENSECHAPTER 5. PROFILES IN TRAVEL$ENSEAircraft ProfilesAll of the calculations in Travel$ense are driven by eight key profiles plus thedefault settings. The accurate setup and timely maintenance of these profiles iscritical to obtaining the maximum benefit from Travel$ense.• Aircraft Profiles – below.• Airline Profiles – on page 52.• Airport Profiles – on page 53.• Billing Code Profiles – on page 55.• Employee Level Profiles – on page 56.• Passenger Profiles – on page 57.• Time Valuation Profiles – on page 58.• Trip Mission Profiles – on page 59.Users are warned not to delete profiles, unless absolutely necessary. Prior tripsthat invoke those profiles will not open properly once you delete a profile.Travel$ense recalculates all trip values when opening a trip, based on thecurrent profiles. If a profile is no longer present, clearly this becomes aproblem. The only area of Travel$ense unaffected by a change to a profile is theSummary Report because it relies on saved data. This preserves the currentprofiles in effect at the time the trip was saved. As long as the trip is notreopened and resaved, these values will not change in over time.Billing codes profiles are optional and do not need to be entered if you don’tintend to input and track trips by billing or accounting code. Several timevaluation methods are included in the time valuation profiles. Users areencouraged to use these as guidance for developing company-specific timevaluation profiles. Airports and airlines are provided by Travel$ense and don’tnormally require any user input. They will be updated occasionally as needed.The aircraft profiles screen is where the Travel$ense fleet (your fleet) iscreated and maintained. To edit aircraft profiles, click on the “Setup BusinessAircraft Profiles” icon (left) on the toolbar or select, “Profiles, Aircraft” fromthe menu.Like the other profiles in Travel$ense, the screen has a display grid at the topwith key details. Click on any of the six column headings to sort the display onthis value. The display is used to select an aircraft of interest. The individualboxes below are where changes or new inputs are made.
