Policy and Procedures on<br />

Deferment,<br />

<strong>Higher</strong> <strong>Education</strong> Division<br />

Preamble<br />

This policy applies to all courses offered by the Division of<br />

Business, Humanities and Social Science and by the Division<br />

of Science, Engineering and Design, with the exception of<br />

the Bachelor of Information Technology and any course<br />

which may be specified by the appropriate Divisional<br />

Manager.<br />

Deferment of an offer<br />

Deferment applies to students who have received an offer<br />

of a place in a course offered by a Division but who have<br />

not formally enrolled. Students who have deferred their<br />

offers will have a place held for them for twelve months, but<br />

they are not considered to be a student of the Division.<br />

Deferment is NOT automatic. Applications must be in<br />

writing to the appropriate Divisional Manager and received<br />

E on or before the end of the period for accepting offers. Each<br />

2 application will be considered on its merits. Students who<br />

have been granted deferment will be informed in writing by<br />

f the Division concerned.<br />

f Deferment is not normally permitted for Postgraduate<br />

If a student who has been granted a deferment enrols in<br />

another higher education course, the offer of a reserved<br />

place at <strong>Swinburne</strong> University of Technology may lapse.<br />

Procedures<br />

Students must apply to defer acceptance of their offer on an<br />

Application to Defer form on or before, the scheduled day of<br />

enrolment. An offer lapses after this time and cannot be<br />

deferred. Students applying to defer offers after the scheduled<br />

enrolment dates should be advised to re-apply.<br />

Deferment may be granted for a maximum of two semesters,<br />

regardless of whether the student has been accepted on a<br />

full-time or part-time basis. Students wishing to extend their<br />

period of deferment should be advised to re-apply for<br />

admission to the course when they are ready to commence<br />

study.<br />

Leave of Absence,<br />

<strong>Higher</strong> <strong>Education</strong> Division<br />

Preamble<br />

This policy applies to all courses offered by the Division of<br />

Business, Humanities and Social Science and by the Division<br />

of Science, Engineering and Design, unless otherwise<br />

specified by the appropriate Divisional Manager.<br />

Leave of Absence<br />

Leave of absence is available only to currently enrolled<br />

students and refers to a period of approved absence from<br />

the course. Students on leave of absence are considered to<br />

be students of their enrolling Division, but would not<br />

normally be entitled to concessions available to currently<br />

enrolled students.<br />

Procedures<br />

Students must apply for leave of absence using the LOA/<br />

Withdrawal form. While students can apply at any time<br />

during the semester, applications received after the HECS<br />

census date will incur a HECS liability and may incur<br />

academic penalties depending upon the reasons for the leave.<br />

Students who have been granted leave of absence will be<br />

eligible for a refund of their General Service Fee only if their<br />

application is received prior to 31 March for semester one or<br />

31 August for semester two.<br />

Applications for leave of absence immediately following a<br />

period of deferment will not be approved. Students must<br />

normally have been studying for at least two semesters<br />

before applying for leave of absence.<br />

Students are eligible to apply for the equivalent of two<br />

semesters leave. Students who change their status from fulltime<br />

to part-time will be permitted to take leave only if any<br />

leave taken as a full-time student has not exceeded two<br />

semesters.<br />

Requests to exceed the maximum amount of leave of absence<br />

must be made in writing to the appropriate Divisional Manager<br />

and considered by the Divisional Board.<br />

Statement to Students on<br />

Confidentiality of Personal<br />

Information<br />

"This is a statement of the University's obligations in<br />

relation to the personal information which we hold about<br />

you.<br />

You are entitled to protection of your privacy, as are staff<br />

and others who might have dealings with the University.<br />

Privacy considerations apply to a great deal of information<br />

the University may hold about you, including factual data<br />

academic progress (course details, examination results,<br />

evaluation and assessment and academic standing) and<br />

personal welfare (emergency contacts, financial matters,<br />

etc.).<br />

Staff of the University may require access from time to time<br />

to personal information about you in your interests. To the<br />

extent that this information is private, the University will<br />

restrict access to those staff who may need the information<br />

in order to carry out their responsibilities in your personal<br />

andlor academic interests as a student of the University.<br />

The University will not disclose personal information about<br />

you to other students, to people outside the University (other<br />

than in accordance with any legal or academic obligation) or to<br />

staff who have no need of access to the information, unless you<br />

tell us, in writing, that you have given permission.
