semestedyear will be required and<br />

no final result will be issued until<br />

the end of that semestedyear.<br />

12.5 Publication and withholding certification<br />

12.5.1 Except by resolution of the awarding<br />

Divisional Board or as provided in<br />

Section 12.5.6, the final result of<br />

assessments in a subject shall be<br />

published not later than three weeks<br />

from the end of the examination<br />

~eriod nearest to the conclusion of the<br />

subject. In the case of a Divisional<br />

Board resolving to publish results after<br />

the normal publication period<br />

Academic Board shall be advised of the<br />

~roposed publication date and the<br />

reasons for the later publication.<br />

12.5.2 The Academic Registrar's<br />

Department is the only official<br />

source for the publication and<br />

certification of results.<br />

12.5.3 Official publication of results shall<br />

be by display in a ~re-desi~nated<br />

place on the University campus on<br />

the date or dates announced by the<br />

Academic Registrar for the release of<br />

that particular semester's or year's<br />

results for each Division.<br />

12.5.4 Because of the possibility of<br />

mishearing information university<br />

staff are not permitted to provide<br />

results over the telephone.<br />

12.5.5 A certificate of final results for the<br />

particular semester will be produced<br />

by the Academic Registrar's<br />

Department and mailed to every<br />

enrolled student within four weeks of<br />

the publication of results.<br />

12.5.6 No certification of current or past<br />

academic results will be produced or<br />

made available to any student or<br />

previously enrolled student or to<br />

any other person on behalf of a<br />

student or previously enrolled<br />

student of the university who:<br />

a) has failed to return outstanding<br />

materials borrowed from the<br />

university Library;<br />

b) has failed to meet outstanding<br />

financial commitments to the<br />

University.<br />

These conditions apply after notice<br />

to that effect had been issued by the<br />

University to the student at the<br />

address most recently recorded in<br />

the University records for that<br />

particular student.<br />

12.6 Viewing of examination scripts<br />

Within 30 days of the publication of the<br />

final result for a subject, any student may<br />

view hidher examination script and marks<br />

for each question by applying to the<br />

appropriate School or Division office or<br />

convener. After this time normal Freedom<br />

of Information (FOI) requirements will<br />

apply until examination answer scripts are<br />

destroyed according to Public Records<br />

Office procedures (see Section 4, Retention<br />

of Assessed Work).<br />

12.7 Amendment to results<br />

Any amendment to a result (whether<br />

finalising a deferred result or altering a<br />

published result) which is submitted within<br />

two months of publication of the original<br />

result, may be approved by the Pro Vice-<br />

Chancellor of the awarding Division as<br />

Chair of the Divisional Board. A Result<br />

Amendment form shall then be forwarded,<br />

via the Divisional Manager to the Divisional<br />

Board which shall note the reasons for the<br />

amendment. The Divisional Office will<br />

action the amendment and forward the<br />

Result Amendment form to Student<br />

Administration for publication.<br />

12.8 Late submission for amendment of results<br />

Where a Result Amendment, other than<br />

finalising a result for which an extension of<br />

time to complete has been granted under<br />

section 12.3.3 or 12.4, is submitted more<br />

than two months after publication of the<br />

original results, the alteration must be<br />

approved by the awarding Divisional Board<br />

before the Result Amendment form is<br />

forwarded via the Divisional Manager and<br />

the Divisional Office to Student<br />

Administration for publication.<br />

Special consideration<br />

13.1 A student whose work during the academic<br />

year or whose performance in an<br />

examination or other assessment has been<br />

affected by illness or other serious cause may<br />

apply on the appropriate application form<br />

to the Divisional/School Office for special<br />

consideration by the subject panel<br />

concerned.<br />

13.2 Applications should be lodged at the<br />

appropriate Divisional/School Office either<br />

immediately following the occurrence, or not<br />

later than midday on the third working day<br />

after the day of the examination or assessment<br />

deadline. An application for special<br />

consideration must be supported by<br />

appropriate evidence, such as a medical<br />

certificate or letter from a student counsellor,<br />

etc. Such evidence may be submitted by a
