b. Automated e-mails.<br />

11. The LRS shall set triggers, as specified by COUNTY, for automated<br />

actions to take place if appointments are missed by a client.<br />

12. The LRS shall cross reference all scheduled appointments for a<br />

participant and display all appointments to COUNTY-specified<br />

User(s), as specified by the COUNTY.<br />

2.17.4 Generate Reports.<br />

1. The LRS shall include the ability to produce standard and ad hoc<br />

reports regarding scheduling (e.g., number <strong>of</strong> missed appointments,<br />

staff availability, utilization <strong>of</strong> time).<br />

2. The LRS shall provide reports which must support Local Office Site<br />

management <strong>of</strong> the processes down to the worker level and then<br />

progressing to unit, section, and <strong>of</strong>fice levels. Performance measures<br />

and counts are required at each level, as determined by COUNTY.<br />

2.18 CLIENT CORRESPONDENCE:<br />

The client correspondence process automates the production and mailing <strong>of</strong><br />

notices, Notices <strong>of</strong> Action (NOA), letters, and forms required by applicable<br />

federal, State, and local laws, rules, regulations, ordinances, guidelines, directives,<br />

policies, and procedures. There are several different types <strong>of</strong> client<br />

correspondence, including notices to applicants, participants, and authorized<br />

representatives, information updates, and eligibility determination results. The<br />

client correspondence process is subject to frequent changes in format and<br />

language for specific NOAs due to changes in federal, State, and local laws, rules,<br />

regulations, ordinances, guidelines, directives, policies, and procedures. The LRS<br />

shall produce online and in batch correspondence in all required languages, and in<br />

formats that are updatable by COUNTY-specified Users, as required, and shall<br />

also display all correspondence in English to COUNTY-specified Users.<br />

The LRS shall include independent Web services for the generation <strong>of</strong> client<br />

correspondence, which shall be available to COUNTY-specified entities (e.g.,<br />

other California SAWS systems) via LAnet/EN and the Internet.<br />
