7. The Conversion and Archiving Plan shall include an initial library <strong>of</strong><br />
conversion rules for each LRS Data element that shall be kept up to<br />
date as those rules and procedures become clarified during Phase 1<br />
(Design/Development/Implementation Phase) and leading up to and<br />
including final conversion.<br />
8. The Conversion and Archiving Plan shall include a high level<br />
conceptual design <strong>of</strong> the migration process, along with a more detailed<br />
design showing inputs and outputs, including DPSS Systems and<br />
DCFS Systems to the LRS and the detailed data relationships to and<br />
from all interfaces.<br />
9. The Conversion and Archiving Plan shall include a process to prevent<br />
duplicate issuances <strong>of</strong> benefits from the LRS and the DPSS Systems<br />
and the DCFS Systems and shall automatically indicate that the case<br />
has been converted to the LRS on the existing systems.<br />
10. The Conversion and Archiving Plan shall include documentation <strong>of</strong> all<br />
User-related processes and procedures <strong>of</strong> how the conversion process<br />
will affect those processes and procedures, including:<br />
a. Redeterminations, Recertifications, and Annual Agreements;<br />
b. Periodic reporting;<br />
c. Adding a program;<br />
d. Adding a person;<br />
e. Each interface;<br />
f. Collection and allotment reductions;<br />
g. Case transfers and reassignments; and<br />
h. Benefit issuances.<br />
11. The Conversion and Archiving Plan shall include a strategy to<br />
generate Countywide reports and Quality Control samples until<br />
COUNTY is completely converted to the LRS.<br />
12. The Conversion and Archiving Plan shall address the iterative process<br />
<strong>of</strong> correcting data in advance <strong>of</strong> Countywide implementation.<br />
13. The Conversion and Archiving Plan shall address the manual<br />
conversion <strong>of</strong> those cases which fail to be converted through<br />
automated means.<br />
14. The Conversion and Archiving Plan shall include all conversionrelated<br />
reports, screen layouts, and definitions.<br />
15. The Conversion and Archiving Plan shall include all conversionrelated<br />
training materials and documentation when they are completed.<br />
