2.5.6 Case Comments.<br />

1. The LRS shall allow COUNTY-specified Users to document case<br />

comments, including confidential case comments, using a minimum <strong>of</strong><br />

twenty-five (25) characters per comment.<br />

2. The LRS shall include an alert, such as an information message pop-up<br />

box, in order to remind COUNTY-specified Users to enter case<br />

comments. The message shall be displayed every time the User takes<br />

an action that will impact case eligibility determination, as well as<br />

before and after case authorization(s).<br />

3. The LRS shall automatically generate case comments whenever the<br />

LRS or COUNTY-specified Users make case changes, as specified by<br />

COUNTY. The case comments shall include a description <strong>of</strong> the<br />

change, the date and time <strong>of</strong> the change, the source <strong>of</strong> the change<br />

(User- or LRS-generated) and, if User-generated, the name and User<br />

ID <strong>of</strong> the User making the change.<br />

4. The LRS shall restrict the ability to change or suppress text from case<br />

comments to COUNTY-specified Users.<br />

5. The LRS shall default the date <strong>of</strong> the case comment to the date the<br />

comment was entered and shall not allow the date to be changed.<br />

6. The LRS shall display case comments in chronological order, starting<br />

with the most recent.<br />

7. The LRS shall allow COUNTY-specified Users to print any or all case<br />

comments, as selected by the User. The case comment(s) shall be<br />

printed in full, without any truncation.<br />

8. The LRS shall include spell check and word wrap features for the<br />

entry <strong>of</strong> case comments.<br />

9. The LRS shall include preformatted case comment templates to assist<br />

COUNTY-specified Users in case comments, based on the LRS Data<br />

changes, as specified by COUNTY.<br />

10. The LRS shall employ a key word match against case comments for<br />

COUNTY-specified Users. The key words will initially be specified<br />

by COUNTY and shall be easily maintainable by COUNTY-specified<br />

Users. The key word match will be employed in order to keep<br />

unacceptable and derogatory words from being used in case<br />

comments. When an unacceptable word is detected, it shall be<br />

immediately erased and an error message will appear. The User’s<br />

supervisor will be notified <strong>of</strong> the key word detected by the LRS.<br />

11. The LRS shall allow COUNTY-specified Users to search case<br />

comments, including, by date range, individual, unit, section, <strong>of</strong>fice, or<br />

County as a whole, for any specified word(s) or phrases.<br />
