7.7 Alteration to results<br />

Any alteration to an examination result (whether<br />

finalising a deferred result or altering a published<br />

result) which is submitted within two months <strong>of</strong><br />

publication <strong>of</strong> the original result, may be approved<br />

by the dean <strong>of</strong> the awarding faculty as chair <strong>of</strong> the<br />

faculty board. An Alteration to Result form shall<br />

then be forwarded, via the Secretary, to the Faculty<br />

Board, to the Faculty Office. The Secretary shall<br />

record the details <strong>of</strong> the alteration and the reasons<br />

for it on the agenda <strong>of</strong> the next faculty board<br />

meeting. The faculty board will receive the<br />

alterations for noting. The Faculty Office will take<br />

action on the dean's signature.<br />

Where an alteration to examination result, other<br />

than finalising a result for which an extension <strong>of</strong><br />

time to complete has been granted under section<br />

7.3.3 or 8.4, is submitted more than two months<br />

after publication <strong>of</strong> the original results, the<br />

alteration must be approved by the awarding<br />

faculty board before the Alteration to Result form<br />

is forwarded to the Student Administration Office.<br />

8. Special examinations<br />

8.1 A special examination may be granted by the Chief<br />

Examiner:<br />

8.1.1 Where a student is absent from the whole<br />

or part <strong>of</strong> an examination due to illness or<br />

other misadventure.<br />

Application under this clause, accompanied<br />

by evidence <strong>of</strong> inability to attend, must be<br />

lodged at the faculty <strong>of</strong>fice not later than<br />

midday <strong>of</strong> the third working day after the<br />

day <strong>of</strong> the examination; or<br />

8.1.2 Where a student has obtained a pass category<br />

in all subjects except one for an undergraduate<br />

qualification and has presented for<br />

and failed that subject in the final semester,<br />

or where a student has failed, in hislher<br />

penultimate semester, a subject which was<br />

not again available in the final semester.<br />

Application under this clause must be<br />

lodged at the Student Administration Office<br />

not later than midday on the seventh<br />

working day after the day <strong>of</strong> the publication<br />

<strong>of</strong> the results <strong>of</strong> the subject in the final<br />

semester.<br />

8.2 Special examinations granted in accordance with<br />

section 8.1 must be notified to faculty board at its<br />

first meeting after the granting <strong>of</strong> the special<br />

examinations and the student and subject convener<br />

advised.<br />

8.3 When a special examination has been granted the<br />

result must be finalised in readiness for notification<br />

to the awarding faculty board by a date fixed by<br />

the faculty board, but no later than two months<br />

after the date <strong>of</strong> publication <strong>of</strong> the original result.<br />

8.4 Any extension <strong>of</strong> that period must have the prior<br />

approval <strong>of</strong> the dean <strong>of</strong> the awarding faculty who<br />

shall fix an alternative date by which the special<br />

examination must be finalised. Details <strong>of</strong> the extension<br />

granted shall be notified to the next meeting<br />

<strong>of</strong> the faculty board.<br />

8.5 The subject convener must submit the result <strong>of</strong> the<br />

special examination to the head <strong>of</strong> department in<br />

time for it to be approved by the dean <strong>of</strong> the<br />

awarding faculty before the due date. The dean<br />

shall notify the result to the Student Administration<br />

Office and the faculty board.<br />

8.6 The Student Administration Office shall notify the<br />

dean <strong>of</strong> the awarding faculty <strong>of</strong> any results which<br />

are outstanding for more than two months from<br />

the date <strong>of</strong> publication <strong>of</strong> the original results. The<br />

faculty board must deal with the matter at its next<br />

meeting.<br />

9. Retention <strong>of</strong> assessed examination work<br />

The head <strong>of</strong> department shall arrange for the retention<br />

<strong>of</strong> all examination scripts for a period <strong>of</strong> three calendar<br />

months after the publication <strong>of</strong> results. The head <strong>of</strong><br />

department shall arrange for the storage <strong>of</strong> copies <strong>of</strong> a<br />

representative sample <strong>of</strong> all assessed material (including<br />

examination scripts) for all subjects taught by the<br />

department for a period <strong>of</strong> at least twenty-four months<br />

after the publication <strong>of</strong> results.<br />

10. Special consideration<br />

A student whose work during the academic year or<br />

whose performance in an examination or other assessment<br />

has been affected by illness or other serious<br />

cause may lodge an Application for Special<br />

Consideration with the Registrar. This will be considered<br />

by the subject panel concerned.<br />

An application for special consideration must be<br />

accompanied by appropriate evidence such as a<br />

medical certificate, a letter from a student counsellor,<br />

etc.<br />

Applications should be lodged at the faculty <strong>of</strong>fice not<br />

later than midday on the third working day after the<br />

conclusion <strong>of</strong> the day <strong>of</strong> the examination. Where no<br />

examination is held, application must be made before<br />

the end <strong>of</strong> the first week <strong>of</strong> the examination period.<br />

No application will be considered after the publication<br />

<strong>of</strong> results.<br />

11. Appeal<br />

Any student or group <strong>of</strong> students has the right <strong>of</strong><br />

appeal to the head <strong>of</strong> the appropriate teaching<br />

department about any aspect <strong>of</strong> the assessment<br />

procedure in any subject. Such appeal shall be lodged<br />

within sixty days <strong>of</strong> publication <strong>of</strong> the results in that<br />

subject, unless otherwise agreed by the Chief Examiner.<br />

Credit Transfer Policy<br />

This policy applies to credit transfer for formal prior learning.<br />

A further policy statement will be issued shortly following<br />

the development <strong>of</strong> the <strong>University</strong>'s Recognition <strong>of</strong> Prior<br />

Learning model relating to informal learning.<br />

1. It is <strong>Swinburne</strong> Univenity <strong>of</strong> <strong>Technology</strong>'s policy to<br />

grant the maximum possible level <strong>of</strong> credit for students<br />

who have been admitted to the <strong>University</strong>'s programs.<br />

This overarching policy will be implemented under the<br />

following more specific credit transfer principles and<br />

guidelines.<br />

1.1 The <strong>University</strong> will ensure that current and<br />

prospective students are aware <strong>of</strong> their rights to<br />

credits for prior studies through the following<br />

publications and information systems:<br />

(a) The <strong>University</strong> Handbooks will include the<br />

latest available information on approved credit<br />

transfer agreements at the time <strong>of</strong> publication.
