easonable and practical to do so. However, OHSP retains the right to make unanounced visits,<br />

inspections and audits. as it deems necessary.<br />

c. OHSP reseres the right to seek and Subgrantee agrees to provide access to records of the<br />

Subgrantee associated with thi grant.<br />

D. OHSPreserves the right to have access to all documentation produced in connection with audits<br />

made by the Subgrantee or independent certified public accountants, regitered mumcipal accuntants<br />

or licensed public accounts hied by the Subgrantee to perform such audits.<br />

XI. Record Retention.<br />

A. Except as otherwise provided, fiancial and programatic records, support documents, statistical<br />

records and all other records pertinent to the grant shall be retained for a period of seven (7) years,<br />

unless directed to extend the retention by OHSP.<br />

i . If any litigation, claim negotiation, action or audit involvig the records is started before the<br />

expiration ofthe seven (7) year period, the records must be retained until completion ofthe<br />

action and resolution of all issues and appeals which arise from it,ot until the end of the<br />

regular seven (7) year period, whichever is later, unless otherwise directed by OHSP.<br />

2. Records for non-expendable property acquired with OHSP fuds shall be retained for seven<br />

(7) years after its fial disposition, unless otherwise provided by OHSP.<br />

3. The general retention perod tor all records starts from the date ofthe fial subject close out<br />

letter.<br />

B. OHSP may request trarfer of certain records to its custody from the Subgrantee when it determes<br />

that the records possess long-term retention value and wil make arrangements with the Subgrantee to<br />

retai any records that are continuously needed for joint use.<br />

If a Subgranteematerially fais to comply with the term of an award, whether stated in a state or federal<br />

statute/ regulation, an assurance, in a state plan or application, a notice of award, or elsewhere, OHSP may<br />

take one or more of the following actions.<br />

A. Temporary witlùold reimbursements pending correction üfthe deficiency by the Subgrantee.<br />

B. Disallow al or part of the costs of the activity or action not in compliance.<br />

c. Wholly or partly suspend or termate the current award for the Subgrantee's program.<br />

D. Witlùüld further awards for the program.<br />
