For all ticketed sports, the Head Coach or Assistant Coach completes the Player Pass List by 12:00 noon on day of competition or by Friday at 12:00 noon for weekend competition and submits the list to the Compliance Office for review and approval. The individual utilizing the complimentary admission must present identification to the person supervising the use of the pass list at the appropriate admission gate and sign the pass list. The individual is then provided with a ticket stub (not a hard ticket), directed to a specific reserved seating area, or treated as a general admission ticket holder. g. Courtesy Cars Courtesy cars are provided for selected Departmental staff members by car dealers from the Wilmington, NC area. The Department of Athletics facilitates the acquisition of the courtesy cars and establishes policies relevant to the issuance of the courtesy cars to Departmental staff. Individual staff members are not allowed to solicit the donation of a vehicle from a dealer for their use. Only the Director of Athletics may authorize Seahawk Club representatives to solicit such participation from car dealers. The University recognizes that courtesy cars are provided for both business and personal use. When the vehicles are used for official University purposes, all University rules and regulations must be followed. Each month mileage logs are required to be turned in. (See B: 12 Courtesy Car Mileage Logs) Internal Administration The courtesy car program is coordinated internally by the Assistant Director of the Seahawk Club, under the direction of the Director of Athletics. All requests and questions regarding the courtesy car program should be directed to this individual. The Assistant Director of the Seahawk Club maintains records for the names of individuals who receive courtesy cars to facilitate the reporting of taxable value and personal/business mileage, as required by the Federal Tax Reform Act of 1984. 106
Responsibilities of the Staff Member It is the responsibility of the recipient of a courtesy car to: • Ascertain and comply with the dealer's conditions for providing the vehicle, to include use, mileage before trade-in, out-of-state travel limitations, maintenance, plating, etc. • Ensure that the UNCW Vehicle Insurance Memorandum is kept in the vehicle at all times. • Report all damages or accidents immediately to the Assistant Director of the Seahawk Club, the dealer and the University’s Risk Manager. • Pay for the servicing of the vehicle at the dealership, unless otherwise specified by the dealer. • Maintain the vehicle in top condition at all times. • Ensure that the vehicle is driven by the recipient only. • Return the vehicle in good condition to the dealer at the specified odometer reading or period of loan. Any charges for repairs should be requested and paid for by the user. • Ensure that student-athletes do not drive courtesy cars, as it would be a direct violation of NCAA rules and regulations. • Report mileage on the first of each month on the designated Courtesy Car Program form. • Assume liability for following University parking policies and for any traffic or parking violations resulting from use of the vehicle. Failure to remedy such a situation immediately may result in the loss of courtesy car privileges. h. Student-Athlete Financial Aid UNCW awards financial aid to student-athletes in accordance with University policy, as well as CAA and NCAA rules and regulations governing financial aid. The Deputy Athletic Director and/or Assistant Athletic Director for Compliance administers the financial aid program for the Department and serves as the Department's liaison with the University's Financial Aid Office in meeting the financial needs of student-athletes. Athletically related grants-in-aid are limited to bona fide educational expenses, such as tuition, fees, room, board and course-related books. i. Athletic Related Medical Coverage The Athletic Department will only pay for medical expenses for athletically related injuries that occur as a direct result of participation in the 107
