PLAYING SEASON DECLARATION OF PLAYING AND PRACTICE SEASAON 1. Head Coach establishes a proposed competition schedule and completes a Declaration of Playing & Practice Season Form and submits a typed proposed competition schedule with the form to the following individuals for signature approval: a. Sport Supervisor (first approval) b. Director of Compliance c. Associate Athletic Director for Business d. Deputy Director of Athletics (final approval) 2. Head Coach submits a copy of the approved competition schedule to Senior Associate Athletic Director for Communications. 3. Senior Associate Athletic Director for Communications prepares dated draft of competition schedule and returns to Head Coach for final review. 4. Head Coach approves the final schedule draft, returns to Senior Associate Athletic Director and provides a copy to the Director of Compliance for contract preparation (See Contract Procedure). 5. Senior Associate Athletic Director for Communications submits a copy of the final approved schedule draft to: a. Director of Athletics b. Deputy Athletic Director c. Associate Athletic Direcdtor for Business d. Associate Athletic Director for Development e. Assistant Athletic Director for Facilities f. Assistant Athletic Director for Marketing g. Director of Compliance files returned contracts and provides copy to Head Coach. 9. Head Coach is responsible for assuring that all contracts have been returned. GAME CONTRACT PROCESS All home and away contests should have contracts signed by participating institutions agreeing to the game date, time and location. The majority of game contracts will be provided a year in advance; however, in some instances, some sports will have contracts that are provided on a request basis. Home Contests 1. Director of Compliance obtains home contest dates from head coaches of each sport. 2. Director of Compliance prepares contracts for each contest and receives required signatures from Head Coach, Deputy Athletic Director, and Director of Athletics (MBB contracts). 3. Director of Compliance mails contracts to opponents. 4. Director of Compliance receives complete contracts from other institutions and logs receipt of contracts. 5. Director of Compliance makes copy of contracts for Head Coach and files original. Away Contests 1. Director of Compliance receives contracts from other institution and logs receipt of contract. 2. Director of Compliance forwards contracts to Head Coach for initial review. 3. Head Coach reviews contracts for date, time and location agreement and sends back to Director of Compliance with signature of approval or necessary revisions. 4. Director of Compliance forwards contracts to Deputy Athletic Director or Director of Athletics (MBB contracts) for final signature. 5. Director of Compliance mails original to hosting institution and keeps a copy for file. PRACTICE LOGS Team practices are monitored to ensure student-athletes are not participating in more hours of countable athletically related activities than is permitted by the NCAA rules. To help monitor these practices, coaches submit weekly practice logs that reflect all countable athletically related activities for each student-athlete during that week. In addition, the Compliance staff does frequent in-person checks of practice. 153
